Requirements
  • A college or university degree in a related field.
  • Knowledge and skills developed through two to five years of work experience in a related job discipline.
Responsibilities
  • Assist in planning, coordinating, and executing Advancement events, including in-person, hybrid, and virtual events, under the oversight of the Senior Associate Director.
  • Manage the event registration cycle, including building registration forms, reporting on RSVPs, and modifying registrations.
  • Help develop and propose policies and procedures for registration data management to improve the quality and accuracy of constituent event data.
  • Help develop event proposals, concepts, communications plans, final briefings, and post-event debriefs.
  • Conduct research, including vendor selection and contract negotiation.
  • Manage expenses with oversight and prepare budget and cost reports.
  • Produce event preparation materials such as name tags and place cards.
  • Maintain internal and external event calendars.
  • Maintain inventory, track event office supplies, and maintain office event equipment and technologies.
  • Monitor market research and current event trends and procedures.
  • Pursue professional development through webinars, seminars, and networking within the University and with colleagues at peer institutions.
  • Execute day-to-day event logistics and other moderately complex assignments with some guidance.
  • Review and finalize guest lists, assist with mailing invitations, and create event brochures.
  • Perform other related work as needed.
Desired Qualifications
  • A Bachelor’s degree.
  • Coursework in project management, business, communications, marketing, hospitality management, or nonprofit management.
  • At least two years of work experience in nonprofit management, development, alumni relations, marketing, public relations, hospitality, sales, or a similar field.
  • Background in event, meeting, and conference planning.
  • Background managing complex cross-team projects with multiple stakeholders.
  • Demonstrated knowledge of, or ability to quickly learn, University operations and the technology tools available to the Office of Advancement and Development.
  • Proficiency in a Microsoft Windows computer environment, especially Microsoft Outlook, Word, Excel, PowerPoint, and the customer relationship management system.
  • Ability to manage confidential information with discretion and tact.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Ability to work collegially and collaboratively in a team setting.
  • Ability to prioritize multiple projects and independently follow through with attention to detail.
  • Strong interpersonal and communication skills, including the ability to listen, speak, and write effectively.
  • Self-motivation and initiative.
