Requirements
  • Six months or more of residential property management or customer service experience is preferred.
  • Proficiency with personal computer skills, keyboarding, Internet search, email correspondence, mathematics, Microsoft Office including Word and Excel, and other software applications such as Yardi and Payscan is preferred.
  • Effective communication and interaction with customers, vendors, management, and coworkers is required to exchange information and give and receive work direction.
  • Ability to work in a fast-paced environment, multitask, prioritize, and complete assigned duties to achieve operational objectives is required.
  • A positive and professional demeanor in all interactions is required.
  • A valid driver's license is required, along with the ability to operate a company or personal vehicle or electric cart.
  • Availability to work a flexible schedule, including weekends, off-hours, and emergencies as required, is necessary.
Responsibilities
  • Provide customer service to prospective and current residents in a multifamily residential community.
  • Answer phones and take and follow up on resident service requests.
  • Assist prospective residents with lease, community, and move-in process information.
  • Prepare lease documents, including pet and allotment information, and ensure lease paperwork is completed and entered into the system.
  • Respond to and manage resident complaints and service issues, coordinating with appropriate staff to resolve resident concerns.
  • Support residents during the move-out process, including notices to vacate and resident transfers.
  • Manage the resident lease process, including finalizing leases and providing community and resident-services information.
  • Perform post-turn unit inspections and move-in inventory inspections with new residents as needed.
  • Follow up with residents who request work orders or services or express community issues or concerns.
  • Provide lease-renewal notifications and timely resident notices to renew or vacate.
  • Coordinate with the maintenance team to ensure service requests are assigned, scheduled, and completed promptly.
  • Follow up with residents to confirm services were completed according to company standards and meet resident satisfaction.
  • Promote positive resident relations by responding promptly to resident concerns and requests.
  • Participate in outreach marketing activities, including market surveys and competitor visits, to obtain prospective residents.
  • Perform general office duties, including phones, filing, special projects, and assignments as needed.
  • Perform administrative and computer tasks, email communications, and data entry in software and information systems including Payscan and Yardi.
  • Compose and distribute correspondence and notices, including three-day notices, move-out charges, renewals, and maintenance-service notices.
  • Participate in property walks and inspections of grounds, common areas, parking lots, community rooms, make-readies, and quality-control areas as needed.
  • Participate in department or regional meetings, resident or community events, seminars, and other work-related events.
  • Comply with OSHA safety regulations, applicable local health, safety, and environmental laws, Fair Housing requirements, and company operating procedures and policies.
  • Operate a company or personal vehicle to travel to various work locations.
