Requirements
  • Completion of two years of college and two years of experience in an office setting supporting customers by phone, in person, and in writing, or four years of experience in an office setting dealing with customers by phone, in person, and in writing.
  • Experience with Microsoft Office software, including Outlook, Word, and Excel.
  • Experience answering a multi-line phone.
  • Ability to communicate effectively by phone and in writing.
  • Ability to maintain satisfactory working relationships and communicate effectively with all levels of staff, other state agencies, and the public.
Responsibilities
  • Perform administrative and secretarial duties for the Director and professional staff, including preparing confidential correspondence, reports, lists, and other documents.
  • Prepare correspondence, letters, and reports for management staff regarding Legislative Affairs policies and operations.
  • Receive and screen incoming calls, correspondence, and visitors; answer general public inquiries regarding Department policies and operations.
  • Arrange meetings and conferences, make and cancel appointments, prepare travel arrangements, and complete travel vouchers.
  • Respond independently to inquiries from legislators regarding issues related to the Secretary of State's Office and coordinate responses with other department staff as necessary.
  • Respond to legislative inquiries regarding the status of legislation by accessing the Department's legislative tracking system.
  • Communicate with lawmakers and legislative staff to assist with constituent issues.
  • Maintain accurate records of legislative constituent transactions and files, and input information into a computer database for staff use.
  • Serve as Records Retention Officer for the Department by maintaining office files and filing office documents.
Desired Qualifications
  • Knowledge of the legislative process and various state agencies.
  • Knowledge of the Illinois Vehicle Code.
  • Experience in constituent work or customer support.
