Requirements
  • A bachelor's degree in Healthcare Administration, Business Administration, or a related field is required.
  • A minimum of 4+ years of progressively responsible medical practice or clinic management experience is required, including at least 2 years managing multiple clinic locations or a multi-site ambulatory practice.
  • Demonstrated experience with multi-site profit-and-loss or budget accountability, scheduling template optimization, and revenue cycle management across a clinic portfolio is required.
  • Proficiency in Microsoft Word, Excel, and PowerPoint is required.
  • The ability to work effectively with staff, board members, clients, and the public is required.
  • The ability to multitask and prioritize independently and in teams is required.
  • The ability to maintain confidentiality is required.
  • The role requires effective communication in a busy multi-office setting and operation of standard office equipment.
  • The role requires sitting for extended periods.
Responsibilities
  • Provide leadership, communication, and guidance to physicians, providers, clinic team leaders, and staff in the clinic.
  • Cultivate clinic leadership, lead operational excellence, and deliver a patient experience that supports patient satisfaction and retention.
  • Own clinic-level economic profitability and growth.
  • Act as the primary communication liaison between Support Services and the clinic regarding corporate policy, procedural changes, and operational protocols.
  • Analyze trends in revenue, productivity, appointments, workdays, and patient flow to maximize practice growth and provider performance.
  • Oversee physician and staff schedules, manage time off, maximize patient convenience, and control practice expenses to maintain profitability.
  • Conduct weekly check-ins with team leaders covering staff issues, development, training, work schedules, concerns, equipment and supplies, staffing analysis, economic performance, labor and supply costs, key performance indicators, and patient accounts receivable collection.
  • Conduct monthly meetings with the clinic leadership team to review operations, economic performance, key performance indicators, and questions or concerns.
  • Lead monthly team-leader meetings, present standardized companywide topics, assign presentations, discuss clinic-specific content, and review economic performance and key performance indicators.
  • Complete quarterly clinic reviews and written summary reports covering reception and clinic operations, CLIA, HIPAA, and OSHA.
  • Meet with physicians, providers, and team leaders to review quarterly reports and key performance indicators, address concerns, and provide management with written reports.
  • Send weekly summaries to the physician advisor and Vice President of Operations covering accomplishments, discussions, challenges, and the upcoming week's schedule.
  • Prepare for and participate in management and operational meetings.
  • Develop and update team-leader and clinic-staff training materials and monthly meeting content with revenue cycle management and Support Services managers.
  • Manage overall clinic staffing performance, including interviewing, selection, hiring, terminations, performance reviews, orientation, training, and time and attendance.
  • Provide orientation for clinic team leaders and remain accountable for their performance.
  • Review staff schedules and time-and-attendance reports and address issues as appropriate.
  • Ensure staff training and effective monthly staff meetings.
  • Complete 90-day and annual performance reviews for direct reports and ensure team leaders complete staff reviews on time.
  • Coach team leaders on performance reviews, performance corrections, feedback, and corrective action plans.
  • Coordinate new physician and provider orientation and onboarding.
  • Coordinate equipment, scheduling, and related activities for expanding or adding services to existing clinics.
  • Ensure adequate clinic staffing to support patient experience and physician efficiency.
  • Ensure clinics and providers deliver a strong patient experience and resolve patient concerns effectively.
  • Ensure compliance with HIPAA, OSHA, CLIA, meaningful-use requirements, and state regulations.
  • Report compliance issues to the compliance committee and support effective resolution.
  • Prepare for and participate in CLIA surveys and help ensure policies and procedures are CLIA compliant.
  • Oversee quality-control and quality-assurance records under the direction of the Technical Supervisor.
  • Coordinate timely proficiency testing for applicable test systems.
  • Coordinate troubleshooting with technical supervisors, manufacturers, and consulting companies when quality-assurance, quality-control, or proficiency issues arise.
  • Prepare written plans of correction for CLIA deficiencies.
  • Provide staff re-education or discipline as appropriate.
  • Perform annual OSHA inspections with team leaders, address relevant issues, and maintain written inspection reports in the onsite OSHA binder.
  • Review and update clinical policies and procedures with revenue cycle management colleagues as changes occur.
  • Complete compliance training and perform other related duties as assigned.
Desired Qualifications
  • Experience in dermatology, medical aesthetics, or a private-equity-backed or management-services-organization multi-site practice is strongly preferred.
  • Experience managing team leads and clinic managers across geographically dispersed locations is preferred.
