Requirements
  • A high school diploma or General Educational Development equivalency is required.
  • Basic Life Support certification is required.
  • At least six months of medical-office experience involving scheduling or referral management is required.
  • Customer service training or experience is required.
  • The candidate must type at least 50 words per minute.
  • The candidate must have general office administrative and clerical skills, including receptionist duties and answering telephones.
  • The candidate must be able to use standard office equipment, including personal computers, copiers, fax machines, and telephone systems.
  • The candidate must understand medical ethics and telephone etiquette and communicate effectively by speech and writing.
  • The candidate must read, write, and speak English well.
  • The candidate must have knowledge of customer service principles, TRICARE benefits, quality control and risk management, medical terminology, medical forms and records management, HIPAA guidelines, medical and legal ethics, organizational practices, and computer operations.
  • The candidate must have operational skills with Microsoft Windows, Microsoft Word, Microsoft Access, and Microsoft Excel.
  • The candidate must understand and apply applicable government appointing, referral-management, privacy, health-information, and Medical Treatment Facility policies and guides.
  • U.S. citizenship is required.
Responsibilities
  • Manage and triage inbound and outbound phone calls and electronic communications for patient engagement.
  • Generate, receive, and electronically deliver telephone messages to medical providers and clinic support staff.
  • Assist walk-in customers with referral management.
  • Perform appointing management and consult management activities for primary and specialty care.
  • Use the Automated Call Distribution system and the TRICARE Online Patient Portal secure messaging system.
  • Identify appointment availability and schedule, cancel, and reschedule appointments.
  • Disposition, review, schedule, and track referrals.
  • Assist with Right of First Refusal determinations.
  • Manage the cancellation-line feature.
  • Verify beneficiary eligibility.
  • Initiate efforts to capture network reports upon request of the referring provider.
  • Maintain records management.
  • Attend training activities according to local Medical Treatment Facility policies.
  • Perform administrative and clerical duties supporting medical care and operational support as required.
  • Answer main office phone lines, direct calls to the appropriate section, or handle calls independently.

  • Completion of an administrative assistant program.
  • Knowledge of current International Classification of Diseases, tenth revision, coding.
