About the role

We are seeking a Fixed Asset Specialist to oversee the management, tracking, and maintenance of company assets, ensuring optimal utilization, compliance with regulatory standards, and maintaining a detailed asset registry. This role requires a meticulous approach to asset lifecycle management, financial reporting, and process optimization. You will be responsible for maintaining accurate asset records, coordinating asset movements, and ensuring the longevity and reliability of all assets. This role is crucial in supporting the operational and financial needs of our AV fleet and infrastructure by ensuring accuracy, compliance, and efficiency in asset tracking and reporting. The ideal candidate will have experience in asset management, financial reporting, and ERP systems, particularly NetSuite, within a technology-driven environment.

This role involves a combination of office-based work and hands-on asset inspections. Occasional travel to operational and vendor locations may be required.

What you’ll do

• The role will be particularly focused on Gatik’s fleet of commercial box trucks as well as the company’s stocks of autonomous vehicle equipment to be fitted onto vehicles. Specific activities will include:
• Maintaining and managing the company’s fixed asset records within NetSuite, ensuring accurate, recording, classification, valuation, and depreciation calculations.
• Tracking and helping plan asset acquisitions, transfers, and disposals while ensuring compliance with company policies and accounting standards.
• Performing regular reconciliations of asset records with the general ledger and lease invoicing documents.
• Working with operations to make sure high dollar autonomous vehicle equipment is tracked and accounted for correctly as it’s installed.
• Collaborating with finance, procurement, and operations teams to ensure proper recording and reporting of all assets.
• Generating and analyzing asset reports, providing insights for financial planning and decision-making.
• Assisting with audits by preparing relevant asset documentation and reports.
• Ensuring compliance with local, state, and federal regulations regarding asset management and depreciation policies.
• Identifying opportunities for process improvements in asset management and NetSuite workflows.

What we’re looking for

• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
• 5+ years of experience in fixed asset management, accounting, or finance.
• Strong proficiency in NetSuite and fixed asset modules.
• Knowledge of GAAP and fixed asset accounting principles.
• Experience in asset tracking, reconciliation, and depreciation calculations.
• Strong attention to detail and analytical skills.
• Ability to collaborate with cross-functional teams and stakeholders.
• Excellent organizational and documentation skills.
