Requirements
  • A minimum of two years of experience, preferably in a Materials Department.
  • Ability to prepare cost savings reports and reports requiring business mathematics.
  • Excellent communication and negotiation skills.
  • Accuracy and speed in typing and word processing, with knowledge of other business subjects.
  • Knowledge of basic computer programs.
  • Experience with Excel, PowerPoint, Word, and Visio.
  • Ability to maintain confidentiality regarding patients and team members.
  • Ability to withstand crisis situations.
  • Customer service skills for interactions with patients, team members, and visitors.
  • A high school diploma or equivalent.
  • Knowledge of hospital or clinical products and equipment is helpful.

Responsibilities
  • Assist the Materials Manager in coordinating and maintaining the supply support system.
  • Purchase required goods, supplies, equipment, and services at the lowest cost consistent with established guidelines.
  • Coordinate delivery of supplies and equipment to and from the hospital, satellite offices, and other businesses as required.
  • Maintain departmental confidentiality and relieve the manager of routine matters.
  • Ensure that hospital and departmental policies, procedures, objectives, and standards are followed for routine materials and services ordering.
  • Edit requisitions to ensure adequate and accurate information is provided.
  • Prepare routine materials and supplies purchase orders using appropriate contracts or supply sources.
  • Meet with sales and company representatives and create analyses of product and cost information.
  • Meet with departments regarding purchasing decisions.
  • Maintain files, records, supplier website locations, resource materials, contract prices, and traveling requisitions.
  • Review and update vendor catalogs and website addresses.
  • Coordinate with departments, Storeroom staff, and vendors to resolve issues involving prices, delivery, or delivery contents.
  • Coordinate product returns, repair requests, and loaner or equipment and supply requests.
  • Arrange emergency or urgent deliveries with vendors, other hospitals, or suitable sources.
  • File and copy requisitions and organize, maintain, and upgrade the filing system.
  • Follow up with departments and suppliers to ensure product and service availability and expedite orders.
  • Act as a resource for department staff and other hospital departments regarding purchasing procedures, product details, contracts, and vendor selection.
