Requirements
  • A high school diploma or equivalent is required.
  • One year of experience involving high-volume contact with the public, or six months of medical office experience involving high-volume contact with patients, is required.
  • Fluency in written and spoken English is required.
  • Must communicate effectively verbally and in writing.
  • Excellent telephone communication skills are required.
  • For positions involving in-person patient care, a Basic Life Support certificate is required within 30 days of hire or before independent practice, whichever comes first.
  • Must work at multiple ambulatory clinic locations in the Tri-County area, potentially on the same day, and provide own transportation.
  • Must be able to sit for at least two hours at a time, walk significant cumulative distances, stand for long periods, bend, use computers and phones extensively, and occasionally lift and carry at least 25 pounds.
Responsibilities
  • Perform clerical, clinical support, and technical assignments as instructed by clinic leadership.
  • Process incoming and outgoing faxes, including labeling, records requests, and uploading refill requests.
  • Scan documents and process non-triage InBasket items such as records requests, labs, imaging, and message routing.
  • Manage patient paperwork, including questionnaires, FMLA forms, provider signatures, and no-show letters.
  • Track and stock patient paperwork and brochures, and process incoming and outgoing mail.
  • Use Microsoft Outlook and provide general clerical and project support.
  • Document information legibly, concisely, and accurately.
  • Assist with patient admission by recording names, contact information, ages, and other personal information.
  • Take and record vital signs, including blood pressure, pulse, respiration rate, and temperature.
  • Perform basic rooming limited to vital signs, social history, and pain documentation.
  • Make patient appointments or refer patients to medical staff for immediate examination or treatment.
  • Transport patients to examination or treatment rooms using wheelchairs or gurneys, or assist them while walking, including assistance with undressing.
  • Assist providers during procedures by passing instruments and holding patients in proper position without performing independent clinical functions.
  • Coordinate daily workflow between front desk and back office by monitoring provider schedules and identifying barriers to patient flow.
  • Communicate with front and back office staff regarding patient and provider flow, scheduling, room turnover, inventory, and other clinical tasks.
  • Accept and label patient samples for point-of-care or laboratory processing and hand them off for Epic workflow.
  • Provide technical support for MyChart, Epic, and office equipment.
  • Attend staff meetings and huddles.
  • Manage inventory and notify appropriate personnel when equipment requires cleaning or repair.
  • Coordinate instrument-processing pickup and drop-off.
  • Check expiration dates for medications and supplies.
  • Turn over, clean, and stock examination rooms.
  • Maintain knowledge of life-safety, patient-safety, fire-safety, electrical-safety, and disaster plans.
  • Monitor patient flow and update patients on delays.
  • Address immediate patient needs as directed and maintain a clean, safe, and orderly environment.
  • Attend education classes, complete required training and competency assessments, complete required modules and updates, and maintain core competencies.
  • Provide flexible coverage for internal service needs and apply process-improvement methods and skills.
