Requirements
  • Two years of experience in administrative office management or closely related experience.
  • Excellent oral and written communication skills.
  • Any equivalent combination of education and experience that provides the requisite knowledge, skills, and abilities will be considered.
Responsibilities
  • Assist department management with budget-related activities, including reviewing monthly financial reports, researching past budgets and expenditures, and reporting expenditures and current fund balances.
  • Prepare complex department documents, records, reports, and forms based on department operations, reporting requirements, and established deadlines.
  • Research, compile, consolidate, and tabulate information; incorporate it into reports and other materials; proofread for accuracy and completeness; and distribute materials upon approval.
  • Maintain assigned inventories; prepare, review, and process purchasing documents; prepare purchase orders; receive and distribute supply shipments; review and code invoices; and forward invoices for payment.
  • Serve as a liaison between department management and section staff or employees; respond to questions about department activities and services; explain policies, procedures, and operations; and follow up to obtain additional information.
  • Process invoices for payment and maintain departmental purchasing records and related documents.
  • Maintain expenditure records and reconcile accounts.
  • Research policies, rules, regulations, and historical data.
  • Maintain the department management calendar; schedule meetings and appointments; arrange travel; prepare and distribute agendas; and obtain requested audiovisual equipment.
  • Enter and update information in department programs and databases; create spreadsheets and files; purge old data; and incorporate database research into reports, summaries, and assignments.
  • Maintain department and program references, including vendor lists, code books, training manuals, standard operating procedures, and mailing lists.
  • Perform payroll duties; monitor timesheets for accuracy; adjust pension codes; correct employee coding; and ensure entries are correct.
  • Receive incoming shipments and record items received; verify shipment accuracy; tag County-owned computers; and maintain computer equipment inventory systems.
  • Process requests for computer equipment and software for County departments and requests for Information Technology department purchases.
  • Answer department telephones; provide assistance and requested documents or information; refer callers as appropriate; take messages; receive, date, and distribute incoming mail; and prepare outgoing mail.
  • Prepare folders; maintain files of department correspondence, program records, and legal documents; photocopy and distribute or file documents; and request information from other departments to complete records and files.
