Requirements
- At least two years of related experience and/or training in customer service, dispatching, or project management.
- Ability to communicate effectively with colleagues by providing clear and concise information, explanations, and directions.
- High levels of oral expression, comprehension, and speech clarity.
- Ability to maintain accurate shop notes in MPI.
- Ability to investigate customer complaints and seek resolutions.
- Ability to organize and multitask.
- Advanced customer service skills.
- Computer skills and knowledge of the automotive service industry.
Responsibilities
- Organize, lead, and control the flow of work through the service department while ensuring timely, quality repairs at a fair cost to customers.
- Monitor open repair orders and assign new repair orders according to technician availability.
- Monitor technician schedules, including late nights, Saturdays, vacation, training, and sickness.
- Notify technicians when an MPI red flag is assigned to them and they have not responded within a reasonable time.
- Assign waiting customers to technicians available to begin work immediately.
- Notify the Shop Foreman or Shop Manager when a repair order has been open for more than three days and is not awaiting parts.
- Track repeat visits using the Microsoft Excel log.
- Notify the Shop Foreman or Shop Manager of repeat visits and follow up with the technician to ensure the Foreman or Manager has been involved and has signed off on the repair.
- Check that prepaid maintenance, DSA, and add-on lines are signed and properly documented.
- Ensure that no-problem-found lines are signed by the Foreman or Manager.
- Assign a technician, porter, or apprentice to perform a quality-control check when necessary.
- Ensure work is evenly distributed among available resources and redistribute repair orders when necessary.
- Conduct brief daily interviews with service advisors.
- Review appointments daily.
- Ensure repairs are fixed correctly on the first visit.
- Delegate work to maximize production.
