Requirements
  • A high school diploma or equivalent.
  • One year of college education or specialized advanced training in data processing, business, or a closely related field.
  • Three years of work experience, or an equivalent combination of education and experience.
  • A valid state driver's license.
  • Proficiency in Microsoft Office, scanning programs, and land record indexing and proofing software.
  • Ability to learn, navigate, and provide input on Register of Deeds software.
  • Ability to gather, organize, analyze, examine, or evaluate data and information.
  • Ability to use basic algebra and geometry, compute discounts and interest rates, count money, make change, and perform petty cash draw audits.
  • Ability to read technical instructions, procedure manuals, and charts and compose routine and specialized reports, forms, and business letters.
  • Ability to perform sedentary work and occasionally exert up to 30 pounds of force.
  • Ability to maintain regular and reliable attendance and physical presence at the workplace.
Responsibilities
  • Receive, enter, scan, and index legal real estate records and other County records into the computer records management system.
  • Process documents in compliance with established indexing rules.
  • Perform corrections as necessary or directed.
  • Review records for completion and contact attorneys, mortgage companies, title abstractors, land surveyors, and others to obtain, confirm, or correct information on legal documents.
  • Prepare and verify records for return.
  • Prepare records for archival storage.
  • Answer the telephone, provide accurate information, forward calls, take messages, and greet and assist office visitors.
  • Receive and respond to requests for records and information in accordance with department policies and procedures.
  • Provide professional and courteous customer service.
  • Assist with the collection and processing of fees and taxes associated with recording legal documents.
  • Provide guidance, training, and assistance to other clerical staff as needed.
  • Perform general clerical work, including typing reports and correspondence, copying and filing documents, entering and retrieving computer data, sending and receiving emails and faxes, and maintaining logs and lists.
  • Attend training, conferences, workshops, and meetings to maintain and enhance job knowledge and skills.
  • Prioritize and execute stressful and difficult situations effectively.
  • Assist in coordinating programs and community service activities and attend community meetings as needed.
  • Process daily mail and respond to email and public or customer inquiries.
  • Perform additional tasks and duties assigned by management.
