The Function:
The People team at Genius serves a client group of circa. 2,000 colleagues In 13 countries. The People function has seven pillars of responsibility; Talent Acquisition; Reward; Training & Development; Employment Counsel; People Systems, Data & Process; People Partnering and; People Operations. People Partnering and People Ops work hand in glove across the People lifecycle, calling on the subject matter expertise of other pillars. People Partnering look across the department/functional relationships globally whereas People Operations look across the country and global people propositions.
The Role:
As a People Team Administrator you will handle administrative tasks for the Project Manager and wider People team to ensure that projects run smoothly and efficiently. Primarily you will be tasked with organising resources, time, and people in order to complete a project within the desired timeline and keeping all project documentation up to date.
Responsibilities:
- Maintaining and monitoring project plans and project schedules
- Organising, attending, and participating in stakeholder meetings to define project objectives
- Documenting and following up on important actions and decisions from meetings.
- Preparing necessary presentation materials for meetings.
- Consistently monitoring the progress and quality of a project and ensuring project deadlines are met.
- Undertaking project tasks as required.
- Creating and updating project-related documentation for each project.
- Assess project risks and issues and provide solutions where applicable.
- Ensure stakeholder views are managed towards the best solution.
- Facilitate meetings where appropriate and distribute minutes to all project team members.
- Coordinating all project team members so workflow remains on schedule
- Assisting with negotiations with contractors and suppliers
- Providing administrative support as needed.
Skills and Attributes:
- Knowledge of computer project management software and hardware (Monday/ Jira)
- Good verbal and written communication skills
- Determination and persistence
- Excellent leadership skills
- The ability to work well in a group setting
- Thorough attention to detail
- Empathy and situational awareness
- Experience with Microsoft Office and Outlook.
- Previous experience with Workday HCM desirable
