Requirements
  • A college or university degree in a related field is required.

Responsibilities
  • Develop and maintain resources and tools that streamline the event planning process, ensuring that events meet high standards of planning and execution associated with the College brand.
  • Lead the planning and coordination of meetings, visiting lecturer and speaker events, key student events, and other special activities hosted by the College.
  • Manage large-scale College programs, including Class Day and the Undergraduate Research Symposium.
  • Lead vendor selection and contract negotiation, and coordinate vendor services including catering, entertainment, audio/visual support, facilities services, transportation, and photography and videography.
  • Oversee on-site logistical preparations and post-event wrap-up for selected events.
  • Create event descriptions and overviews, briefings, and other relevant event documents.
  • Promote events to College students and other targeted audiences.
  • Resolve logistical issues during event planning and production.
  • Identify the needs of proposed events and develop the tools and resources necessary for effective execution.
  • Research and propose event and speaker ideas that further the College’s strategic goals.
  • Correspond with key guest attendees, including panelists and featured speakers.
  • Use templates and event plans and timelines to ensure that tasks and logistics are completed within the appropriate time frame.
  • Develop and maintain relationships with College colleagues, University partners, and external stakeholders.
  • Establish efficient business processes, procedures, and daily operations.
  • Provide professional, courteous, and proactive client and guest services.
  • Contribute to team success by presenting ideas, identifying problems, anticipating needs, and researching solutions.
  • Create and propose budgets based on project needs and objectives, and manage and process event invoices and payments.
  • Develop and execute day-to-day event logistics and other complex assignments with minimal guidance.
  • Guide research, including vendor selection and contract negotiation; track expenses, prepare cost reports, and solve complex problems as they arise.
  • Review and finalize guest lists, assist with mailing invitations, and create complex event brochures.
  • Implement improvement ideas and provide post-event feedback on turnout and vendor performance.
  • Perform other related work as needed.
