Requirements
  • A bachelor's degree or equivalent combination of education and experience.
  • Three years of experience in office administration.

Responsibilities
  • Coordinate administrative support, including maintaining the department head's calendar and meetings.
  • Plan and coordinate administrative activities and services.
  • Monitor office procedures and ensure adherence to office protocols.
  • Review and sign documents for the supervisor.
  • Attend meetings or committees on behalf of the supervisor.
  • Prepare and review operational and special reports.
  • Coordinate office records retention and maintain office references, resource materials, and filing systems.
  • Coordinate travel arrangements and prepare itineraries for academic collaborators and visiting scholars.
  • Plan and coordinate meetings, seminars, and other special events.
  • Coordinate the ordering and maintenance of office supplies and equipment.
  • Make recommendations for process improvements or administrative changes.
  • Coordinate with Human Resources as needed; hire, supervise, train, and evaluate the work of others.
  • Develop and maintain knowledge and understanding of relevant state guidelines.
  • Interpret and apply guidelines to assist in determining residency status for students.
  • Analyze incoming inquiries and provide proper instructions for resolution.
  • Review student records and analyze situations to determine eligibility for tuition rebates.
  • Coordinate with external departments regarding compliance with scheduling and registration rules.
  • Work with stakeholders to resolve issues concerning access to teaching space.
  • Ensure data integrity by monitoring submissions and identifying issues.
  • Serve as the front office manager.
  • Manage badge requests, serve as the Texas A&M University Parking Representative, and act as the package liaison.
  • Plan and coordinate department social events.
  • Provide support for faculty appointments, promotion, and tenure.
  • Create and manage polls, RSVPs, electronic forms, documents, and routing.
  • Perform special analyses and project summaries.
  • Prepare documentation for appeals submitted to relevant panels.
  • Assist in developing college-level guidelines and protocols.
  • Conduct new-user training for scheduling systems.
  • Coordinate continuous review of classroom utilization for efficiency assessments.
  • Assist the department head with special projects.
  • Monitor project timelines and identify issues.
  • Serve as a primary point of contact for inquiries related to registration administration.
  • Maintain systems used for class schedule development and user security and access.
  • Respond to non-routine requests regarding state policies.
  • Consult with colleges and departments on best practices related to scheduling and registration.
  • Prepare and take minutes at meetings.
  • Manage office correspondence and communications.
  • Coordinate with others regarding webpage updates.
  • Perform other duties as assigned.
