Foundation Data Specialist

Position Summary: 

The Database Specialist plays a critical role in supporting the Foundation's mission by managing and optimizing the donor database, ensuring data accuracy, and providing critical reporting and analysis. This position also supports fundraising activities and donor engagement through efficient processes and collaboration with team members.

Minimum Qualifications:

Required

• Bachelor Degree in business, communications, or marketing; equivalent combination of education and experience may be considered.
• Two (2) years data management experience in a non-profit setting using Raisers Edge and Raisers Edge NXT or equivalent database system.

Preferred

• Five (5) years of experience in financial reporting, constituent relations, gift entry and database management in a non-profit setting.

Essential Job Functions:  In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

Database Administration

• Oversee and manage the Raiser’s Edge database, ensuring data hygiene, accuracy, and security.
• Process all donation-related data efficiently and accurately, including receipts and acknowledgements.
• Develop and maintain system standards, operating procedures, and training for Foundation staff.

Reporting and Analysis

• Create queries and generate on-demand reports, including those related to annual revenue and donor activity.
• Provide regular analysis of donor trends to inform fundraising strategies.
• Support monthly, quarterly, and annual reconciliation requirements for events, campaigns, and recognition initiatives.

Support for Fundraising Activities

• Develop and maintain lists for mailings, invitations, and event planning.
• Conduct wealth screening and prospect research to identify and evaluate potential donors.
• Build strong relationships with Health System team members to support collaborative fundraising efforts.

Audit, Compliance, and Fiduciary Support

• Serve as liaison for the annual audit and support 990 tax filings and other fiduciary reporting requirements.
• Track and report grant expenditures in coordination with department managers to ensure proper fund deployment.

General Responsibilities

• Assist with special data requests, donor segmentation, and reporting as needed.

• Collaborate with the Foundation team to support the organization’s overall goals and initiatives.

Schedule Requirements

• This role requires regular and sustained attendance.
• The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.
• On-call work may be required to respond promptly to organizational, patient, or employee needs.

Exposures (Rarely): Bloodborne pathogens, such as blood, bodily fluids, or tissues. Radiation in settings where medical imaging procedures are performed. Various chemicals and medications are used in healthcare settings. Job tasks may involve handling cleaning products, disinfectants, and other substances. Infectious diseases due to contact with patients in areas that may have contagious illnesses.
