Requirements
  • A minimum of 3-5 years of relevant experience in operations, administration, or a related field.
  • A Bachelor's degree.
  • Ability to work independently and as part of a team in a fast-paced consulting environment.

Responsibilities
  • Manage biweekly mail collection from the North Andover site, including bank deposits and electronic distribution of mail to appropriate team members.
  • Coordinate logistics for monthly in-person staff gatherings in Boston, including space, scheduling, and on-site needs.
  • Maintain assigned projects and tasks within the department's project management systems, keeping timelines and documentation up to date.
  • Support limited business development operations tasks, including master services agreement data management and related administrative work.
  • Contribute to documenting internal operations processes.
  • Support ongoing process improvement efforts across the team.
  • Support internal communications, including drafting and posting Slack announcements for new contracts and other firm updates.
  • Make occasional purchases via the company card and manage selected vendor accounts and relationships, including associated billing.
  • Assist with ad hoc financial and operational reports, including data analysis and synthesis.
  • Manage weekly transaction coding and mapping in QuickBooks Online, categorizing and flagging exceptions for reconciliation review.
  • Support the monthly invoicing process by drafting invoices, pulling timesheet data, coordinating with Practice and Team Leads on billing details, issuing invoices, and maintaining the invoice tracker.
  • Manage receipt collection and documentation for expense tracking.
  • Assist with backend data pulls and cleanup in support of monthly reporting.
  • Contribute to project budget tracking and project data entry.
  • Manage software license administration and Google Workspace user maintenance, including staff additions and removals, shared drive permissions, distribution group updates, renewal tracking, and maintenance of the firm's tools inventory and technology budget.
  • Provide first-line internal technology support and training for staff.
  • Support accurate entry and maintenance of contract information in the firm's customer relationship management system.
  • Support onboarding and offboarding logistics, including systems and license setup and removal, computer shipments, preparation and distribution of onboarding materials, and coordination with managers.
  • Process HR system updates in Gusto, including employee record maintenance, address updates, and temporary supervisor changes, and maintain the firm's organizational chart to reflect current staffing.
Desired Qualifications
  • Experience in a consulting, nonprofit, or professional services environment.
  • Familiarity with human resources information systems, payroll platforms such as Gusto, or accounting software such as QuickBooks Online.
  • Experience with customer relationship management platforms or internal software administration.
  • Experience with data analysis and the ability to organize, interpret, and present data clearly and accessibly.
  • Exposure to finance, human resources compliance, or people operations functions.
  • Alignment with BME's shared values.
