Requirements
  • A high school diploma or General Educational Development (GED) certificate is required, although equivalent experience may be accepted in lieu of the required degree or diploma.
  • At least 3 years of recent, relevant experience is required.
  • At least 3 years of experience in an off-site health care contact center is preferred.
  • At least 3 years of experience within a medical network, medical group or clinic environment, insurance company, managed care organization, or other financial service setting performing financial counseling, financial clearance, and/or customer service activities is required.
  • General knowledge of patient access, financial counseling, and ambulatory settings is required.
  • Working knowledge of insurance and medical terminology is required.
  • Time management skills and the ability to manage frequent in-person patient contacts while effectively maintaining and documenting data in patient registration systems are required.
  • Leadership skills, including team building and coaching or mentoring, with the ability to motivate and engage team members are required.
  • Verbal and written communication and active listening skills are required.
  • Accuracy and attentiveness to detail are required.
  • Decision-making and problem-solving skills are required.
  • The ability to work concurrently on a variety of tasks and projects in diverse environments is required.
  • The ability to meet or exceed targeted customer service, productivity, and quality standards is required.

  • Required employee immunizations include measles, mumps, varicella, and annual influenza, subject to applicable exemptions.
Responsibilities
  • Supervise staff answering inbound patient scheduling calls and processing authorization and referral requests, while monitoring confidentiality, accuracy, and customer service.
  • Ensure appropriate daily coverage for call handling, referral and authorization processing, and work queue management.
  • Use tools to monitor and document call-handling quality and scheduling accuracy according to practice scheduling protocols and tools.
  • Evaluate scheduling errors and recommend process improvements.
  • Build a safe and trustworthy environment with patients using scripted and non-scripted communication methods.
  • Support de-escalation of situations involving dissatisfied customers and offer patient assistance and support.
  • Train staff and provide immediate assistance with using and navigating multiple software systems.
  • Meet goals and objectives assigned by management.
  • Escalate problems to management and assist with other assigned projects.
  • Support implementation of programs, policies, initiatives, and tools.
  • Contribute ideas and actions toward continuous improvement of Patient Access processes.
  • Complete monthly team evaluations and deliver feedback to individual team members with the Patient Access Department Supervisor.
  • Learn and disseminate training on new processes, concepts, and skills.
  • Seek and respond to regular performance feedback from the direct leader and provide upward feedback as needed.
  • Promote a positive work environment through team building and approved staff recognition and appreciation efforts.
  • Support strong peer-to-peer relationships through communication, cross-team support, and ad hoc training.
  • Perform revenue cycle tasks to ensure compliance and exceptional customer service.
  • Authenticate patient identity throughout all processes.
  • Provide directional support to patients and family members when needed.
  • Maintain knowledge of applicable federal, state, and local laws and regulations, C.A.R.E.S. standards, and MarinHealth policies and procedures.
