Requirements
  • Vocational training, an apprenticeship, or equivalent experience in a related field.
  • Knowledge and skills developed through seven or more years of work experience in a related job discipline.
Responsibilities
  • Manage and execute administrative support for the Institute, including calendar management, room reservations, expense management, mail, travel logistics, and recruitment efforts.
  • Review, process, and track financial transactions such as GEMS expense reports, reimbursements for visitors, graduate students, and postdoctoral fellows, and departmental invoices to vendors using GEMS card, Oracle, and related systems.
  • Provide high-level event management for Institute colloquia, special seminars, and other events, including arranging speaker travel, coordinating visit agendas, chaperoning visitors, planning receptions, processing reimbursements through GEMS, and advertising and distributing event announcements.
  • Coordinate and execute logistical aspects of meetings, off-site events, team initiatives, training, development, recognition, and other organizational goals, and follow up on pending items without guidance.
  • Resolve routine and complex inquiries, refer inquiries to the appropriate person, and follow up to ensure complete and timely responses.
  • Interpret and communicate office policies and procedures using professional judgment.
  • Prioritize and determine the appropriate course of action, referral, or response in accordance with University of Chicago and Pritzker School of Molecular Engineering policies and procedures.
  • Update and maintain faculty members’ curricula vitae, publication information, and biosketches quarterly in coordination with University Research Administration and Sponsored Programs and Research.
  • Track and help drive completion of key deliverables and follow up on outstanding items.
  • Prepare written recommendations for operational and administrative problems and prepare financial and administrative reports.
  • Prepare special reports and summaries, assist in managing daily office operations, and assist in developing administrative goals and policies.
  • Maintain the leader’s calendar, exercising discretion and judgment regarding priorities and effective use of the leader’s time.
  • Coordinate special projects as directed by the leader.
  • Manage a portion of the leader’s budget, monitor and reconcile accounts, and prepare financial and administrative reports when assigned.
  • Perform other related work as needed.
Desired Qualifications
  • A Bachelor’s degree.
  • Three or more years of progressively responsible business and administrative experience.
  • Background working within an academic or complex administrative environment.
  • Familiarity with the higher education environment.
  • Background as an executive assistant or program manager in an academic environment or healthcare executive setting.
  • Experience scheduling for multiple leaders and preparing leaders for meetings, events, interviews, and ongoing commitments to support a hybrid workforce.
  • Experience preparing presentation decks for executive and academic leadership.
  • Experience reconciling budgets, tracking expenses, and providing timely updates on office expense management, including monthly and quarterly tracking reports.
  • Proficiency in project management methodologies.
  • Advanced experience with Microsoft Outlook, Excel, PowerPoint, and Word.
  • Ability to handle highly confidential and sensitive materials and situations.
  • Ability to interact comfortably with senior executives, faculty, and staff.
  • Ability to develop collaborative relationships within the Pritzker School of Molecular Engineering and throughout the University community.
  • Ability to represent the mission, values, and strategic plan of the organization and leaders through work products, efforts, and communication.
  • Ability to manage and organize ad hoc projects to support processes and workflows.
  • Ability to work independently and follow up on tasks assigned by the Institute Manager.
