Requirements
  • A high school diploma and one year of related experience in an administrative office or customer service field, or completion of Vision Care 1, 2, and 3 courses, or an equivalent combination of education and experience.
  • Medical terminology experience is preferred.
  • Demonstrated ability to word-process documents and enter data into a database is preferred.
  • Demonstrated skills related to achieving customer satisfaction are preferred.
  • Ability to act as a resource to less experienced staff is preferred.
Responsibilities
  • Perform functions associated with patient information processing for ambulatory care visits, including reception, registration, charge reconciliation, appointment scheduling, electronic medical record task management, In Basket management, and telephone encounter management.
  • Greet patients, verify identities using two identifiers, identify providers, direct patients, obtain signatures, assess special needs, monitor the reception area, provide warm hand-offs, update patients on waiting times, protect Personal Health Information under HIPAA, and maintain a clean and orderly waiting area.
  • Collect and verify patient demographic and financial information, establish billable accounts, enter information into the electronic medical record and patient access and revenue cycle system, and complete required patient forms.
  • Schedule and coordinate ambulatory visits, ancillary testing, referrals, interpreters, and outside services; monitor schedules; pre-register patients; follow up on missed appointments and cancellations; complete related correspondence; assist with provider template changes; and ensure patient satisfaction before discharge.
  • Print After Visit Summaries at check-out when appropriate, collect patient co-pays, prepare end-of-day deposits, and reconcile discrepancies.
  • Answer and route clinic calls, open and route telephone encounters in the electronic medical record, coordinate outgoing calls, forward calls, page providers, and take messages.
  • Edit and correct registration errors, complete missing registration data, assist with charge reconciliation, ensure schedule accuracy, reduce follow-up and corrective work, process In Basket messages and referral work queues, and enter accurate and concise information in the legal medical record.
  • Assess situation urgency and determine appropriate patient routing, handle complaints, apply service recovery concepts, and serve as a front-line problem solver.
  • When competencies are verified by clinical staff, escort patients, collect height and weight information, record current medications and basic visit documentation, and obtain vital signs.
  • Perform other duties as assigned.
