ModMed is hiring an Executive Administrative Assistant to be a supportive force that empowers our executive leadership team. You’ll work in a fast-paced and dynamic office environment, working autonomously to proactively solve problems, while planning and orchestrating detailed tasks for multiple senior executives. Given the dynamic nature of the executive landscape, we rely on executive assistants to be see around corners, be nimble and consistent while maintaining the confidentiality of high-level information, systems and operations. This is an excellent opportunity to gain exposure to strategic business operations and work closely with our executive staff at a fast-paced Healthcare IT company that is truly Modernizing Medicine!
Your Role:
- Coordinate and manage complex schedules and calendars for the President and Chief Operating Officer, serving as a gatekeeper to ensure critical business priorities are met.
- Coordinate travel arrangements, and accommodations with a high level of detail and follow-through and manage the travel budgets, expense reports.
- Exercise good judgment, discretion, and proactively anticipate needs
- Support and collaborate with other Executive Assistants to ensure cross-departmental needs are met.
- Manage communications by creating and editing professional documents and correspondence for internal and external audiences.
- Organize team communications and plan events, both internal and off-site.
- Maintain comprehensive and accurate records and work on additional projects and tasks, as needed.
Skills and Requirements:
- Bachelor’s degree strongly preferred.
- Ability to work onsite at our Boca Raton, FL headquarters on a full-time basis and accommodate occasional non-standard office hours e.g., when travel necessitates coordination.
- 4+ years of professional experience in an administrative assistant role supporting c-suite executives with previous success working in a fast-paced, dynamic, and nimble work environment.
- Experience with Concur, G-suite (Google Workspace) and apple products.
- Tech-savvy with extensive experience with email, calendar, office, and web-based software tools.
- Professional/business oriented with a high level of competency in written, verbal interpersonal communication skills.
- Highly competent with administrative, and organizational tasks with strong planning and execution skills.
- Solution oriented, resourceful, proactive and exercises good judgment in all professional matters, particularly those with any degree of sensitivity.
- Demonstrated experience in establishing and maintaining effective working relationships with executives, team members, customers, etc.
- Ability to maintain the confidentiality of information related to the company and its employees.
