Requirements
  • A college or university degree in a related field.

Responsibilities
  • Collaborates across a department of 90+ to ensure all Medicine and Biological Sciences Development staff have the tools and resources needed to perform their jobs efficiently and effectively.
  • Assist with office-related budget management, including submitting invoices, submitting and approving expense reports, and supporting cyclical budget-related responsibilities such as year-end closing and fiscal year budget planning.
  • Process personal reimbursements and corporate card reconciliations for MBSD, including serving as a departmental approver, and ensure GEMS credit card transactions are reconciled within the 60-day policy-permitted timeframe; guide staff to meet this deadline; adjust staff assignments to reimburse MBSD staff timely.
  • Monitor and reconcile accounts in the Operations budget and prepare financial and/or administrative reports; maintain a tracking log of financial transactions and ensure payments are posted to vendors; assist other MBSD teams with urgent payment resolution; review invoices for MBSD general supply budget charges.
  • Submit contracts for Procurement’s legal review and see through to completion; request updates from Procurement and communicate with stakeholders; create Standing Purchase Orders for approved contracts; file executed contracts in digital library.
  • May serve as a backup departmental approver to ensure contracts and purchase requests are completed successfully for the unit.
  • Serve as a primary point of contact for employee and office-related questions; collaborate with BSD People Services and MBSD hiring managers to support recruitment, on-boarding, off-boarding and employee experience activities and events.
  • Maintain confidential records (hard copy and electronic) to ensure compliance with University procedures.
  • Track and facilitate internal employee recognition activities, including service milestones and department anniversaries.
  • Collaborate on staff retention efforts and programs; support on-boarding/off-boarding logistics with BSD People Services, BSD IT, MBSD Operations and other stakeholders.
  • Support complex scheduling needs of the department, including scheduling meetings, events, interviews, and travel arrangements involving faculty and executive staff and candidates.
  • Contribute to development and implementation of MBSD policies and procedures, including data management, internal communications, and event logistics; assist with process improvements to enhance employee satisfaction and operational efficiency.
  • Coordinate and support scheduling of onboarding, training sessions, staff meetings, staff celebrations, ad hoc gatherings, and other programs to support employee engagement and program success.
  • Build relationships with the University Advancement Talent Management team and partners to align employee experience initiatives with University Advancement programs and trainings for new staff.
  • Draft and edit copy for internal and external stakeholders, including all-staff announcements and procedure updates, and marketing-focused copy for staff initiatives.
  • Provide support to MBSD with special projects across teams such as Advancement Services, Individual Giving, Principal Gifts, Outreach, Events, and Volunteer Engagement.
  • Resolve and track all MBSD staff requests via Operations Services email and other inboxes; manage resolution of routine and complex inquiries with high-quality customer service.
  • Provide backup support to the daily Front Office operations as needed, greeting and assisting donors, faculty, trustees, job candidates, vendors, and visitors to ensure a positive guest experience.
  • Ensure MBSD office areas and workstations are ready and maintained; assist with workstation and conference room setup and configuration; submit and track building repair orders to completion.
  • Collaborate to resolve basic and complex facilities issues with building or campus services; travel to Hyde Park campus as needed to support facilities in a backup capacity.
  • Perform routine and complex assignments in finance, event planning, or support services; initiate the hiring process for students and staff, including payroll processing.
  • Train office staff on procedures and compliance protocols; coordinate special projects.
  • Perform other related work as needed.

  • Strong verbal and writing skills, high attention to detail and follow-up, and excellent organizational skills.
  • Ability to manage confidential information with discretion and tact.
  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University and the technology tools available to Medicine and Biological Sciences Development (including Microsoft Windows environment, Microsoft Outlook, Word, Excel, PowerPoint).
  • Strong leadership qualities, including the ability to execute by leading by example.
  • Ability to work collegially and collaboratively in a team setting.
  • An exceptional work ethic and track record of personal initiative.
  • Outstanding interpersonal and communications skills with the ability to listen, speak, and write well.
  • Flexibility and adaptability to new programs in an evolving environment.
  • Willingness and ability to travel to on- and off-campus locations for University business.
  • Ability to prioritize work and meet deadlines.
