Requirements
  • At least one year of clinical practice experience, preferably in an office setting.
  • Comfort with back-office responsibilities.
  • High school education or equivalent.
  • Proof of current vaccinations, including recommended boosters for measles, mumps, rubella, varicella, hepatitis A and B, influenza, and COVID-19.
Responsibilities
  • Escort patients from reception to exam rooms; document height, weight, blood pressure, temperature, chief complaints, and notify the doctor when patients are ready.
  • Stock exam rooms each morning and clean rooms between patients.
  • Maintain medical-supply inventory and complete requisitions in a timely manner.
  • File scanned paperwork daily.
  • Fax clinic schedules to physicians for the next clinic day.
  • Prepare the travel chart weekly.
  • Open and distribute mail daily.
  • Print the following clinic day's schedule and verify that progress notes and superbills are attached.
  • Order office supplies.
  • Answer telephone calls, including calls for closed offices at different locations.
  • Page physicians regarding consultations, including the consultation, hospital, patient name, room number, referring physician, and hospital phone number with the appropriate extension.
  • Schedule appointments for new and existing patients according to established guidelines and provide directions to new patients.
  • Handle and process billing information daily.
  • Handle and process dictation, letters, and physician orders daily.
  • Register patients, enter or update patient demographics, and copy vital information.
  • Collect co-payments and past-due balances at check-in and check-out.
  • Coordinate and process referral information for managed-care patients.
  • Process medical-record requests.
  • Obtain laboratory specimens as requested, complete laboratory requisitions, prepare samples for laboratory pickup, and document the work in the medical record.
  • Ensure superbills are completed at the end of each visit, including visit code, diagnoses, and all ordered laboratory tests.
