Requirements
  • A high school diploma or equivalent is required.
  • Medical administrative office education is a plus.
  • Three years of medical office experience are required, including one year in a medical office role at Beth Israel Lahey Health.
  • Proficiency in standard office procedures and operation of business machines, including personal computers, scanners, and telephones, is required.
  • Experience performing medical scheduling and working with medical software is required.
  • Working experience with medical terminology is required.
  • Appropriate English usage and excellent phone skills are required.
  • Attention to detail and strong customer service and interpersonal skills are required.
  • Staff must be vaccinated against influenza as a condition of employment.
Responsibilities
  • Answer telephone calls, identify the practice, take clear messages, and determine appropriate call backs for clinicians and office staff.
  • Register new and established patients upon arrival, verify demographic information, collect co-payments and outstanding balances, and update required information.
  • Assist with scheduling work queues and recall lists by calling patients to arrange appointments.
  • Assist with managing department work queues.
  • Ensure completion of necessary paperwork for patient visits.
  • Review MyChart Portal sign-up and encourage patients without active accounts to create one.
  • Review My Lahey Chart messages, complete requests, or forward them to the appropriate in-basket.
  • Communicate registration changes and ensure staff are informed through the appropriate clinical pool.
  • Review the daily schedule and manage check-in efficiently to keep schedules on time.
  • Round with patients in waiting areas, provide updates about appointment wait times and changes, and communicate patient delays to providers and clinical staff.
  • Obtain prescription refill information and forward refill encounters to providers.
  • Communicate emergent and urgent calls to a nurse or provider immediately and forward other patient care calls to the nurse in-basket for triage.
  • Facilitate insurance referrals and authorizations for scheduled procedures, office visits, and testing as needed.
  • Run and utilize reports from Epic to help manage the patient population in accordance with management directives.
  • Coordinate and provide insurance referrals and prior authorizations.
  • Respond to patient questions and coordinate services for patients.
  • Participate in Call Center rotations and maintain physician schedules as needed.
  • Relay messages and patient inquiries to providers as appropriate.
  • Initiate patient prescriptions and refills according to provider orders or practice protocol.
  • Communicate with patients by phone or written communication about appointment, procedure, and test-preparation requirements and general healthcare information.
  • Answer patient questions, assist with resolving complaints, and escalate complex issues as appropriate.
  • Provide general information about the practice within the scope of responsibility.
  • Respond to patient billing questions when possible and work with Patient Financial Services to resolve them.
  • Support the Practice Manager or Coordinator with assigned projects, including creating letters, managing work queues, and assisting providers.

Beth Israel Lahey Health rolls out Heidi's AI scribing to all physicians after 90% report better patient presence

Beth Israel Lahey Health is rolling out Heidi's ambient AI scribing tool to all its physicians following a successful trial across its facilities. The health system, which serves over 6,000 providers across 14 hospitals and 175 primary care practices, prioritises addressing physician burnout, with nearly half of US physicians reporting burnout. During a six-month trial offering Heidi to 1,000 providers, the majority adopted the technology. Survey results showed 89% were satisfied with note quality, 90% felt more present with patients, 74% reduced after-hours work time, and 82% experienced reduced cognitive load during visits. The implementation demonstrates how ambient AI can deliver immediate relief to physicians whilst benefiting patients and the healthcare system. Heidi supports over 2 million consultations weekly globally and has raised $96.6 million from investors including Point72 Private Investments and Blackbird.
