  • 4+ years of Executive Assistant/Administrative support of C Suite or VP level Executives, Chief of Staff or similar experience
  • 1+ year of management experience with a minimum of 2 reports. This can be dotted line or direct line management
  • Experience with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms)

  • Understand the highly flexible nature of support work and are comfortable with being available in-person and onsite as needed

Responsibilities
  • Lead and grow a team of Administrative Business Partners to support the leadership of Asana
  • Manage administrative responsibilities for your direct reports, including Workday management and expense report approvals
  • Communicate and support performance expectations through regular feedback and during our growth and impact cycles
  • Support your directs' career growth and development through coaching, mentorship and advocacy
  • Collaborate with other Administrative Operations Managers and People team partners on team-wide matters, including annual planning processes, team-wide bandwidth balancing, gather and analyzing data and recommending improvements
  • Actively participate in promotion and compensation calibration cycles, recruiting and hiring processes, and other team-building programs
  • Manage leadership relationships using bi monthly, quarterly and asynchronouscommunication processes
  • Understand business priorities of your leader and of Asana's business in order to best leverage their time
  • Strategic calendar management with strong attention to accuracy & detail
  • Manage and coordinate logistics for internal and external meetings
  • Handle inquiries quickly, proactively, and follow through on tasks to successful completion
  • Support your leader in maintaining relationships with key people to ensure continuity in communications and to surface and pursue opportunities for collaboration
  • Embody the culture, values, and goals of your leaders when engaging with internal and external stakeholders
  • Assist with special projects such as offsite planning, team events and meeting preparation
  • Identify operational weaknesses and help refine processes or develop new ones
  • When bandwidth allows, collaborate with other members of the admin team to provide seamless support for all Asanas
