Executive Assistant

Position Overview

We are seeking a highly organized and proactive Executive Assistant to support the CEO and manage office operations in a fast-paced environment. This role can be in-person in San Francisco or remote, with the requirement to work Pacific Time hours. The ideal candidate will be adaptable, detail-oriented, and capable of anticipating and meeting the needs of our leadership team.

Key Responsibilities

• Manage calendar, meetings, and travel arrangements for the CEO.

• Handle sensitive communications with key external stakeholders.

• Prepare documents, reports, and presentations.

• Coordinate team events, onboarding, and manage office supplies and vendor relationships.

• Anticipate the needs of the CEO and resolve issues proactively.

Qualifications

Must have:

• Bachelor’s degree preferred or equivalent experience.

• 5+ years as an executive assistant, including 3+ years supporting C-level executives.

• Proficiency in Google Workspace, Microsoft Office, Slack, Notion, Superhuman, and Ramp.

• Extremely strong communication skills (both written and verbal).

• Detail-oriented with strong prioritization and problem-solving abilities.

• Ability to operate well in a fast-paced, direct, and autonomous culture.

Nice to have:

• Experience in startups or similarly fast-paced environments.

• Initiative to solve problems proactively with creative solutions.

• Experience with Canva, basic video editing, and PowerPoint to support communication materials.

• Familiarity with automation and AI tools such as ChatGPT.

• A creative background or passion for video generation.
