Requirements
  • A bachelor's degree and a minimum of three years of related experience, including demonstrated leadership, project management, and/or supervisory experience, or an equivalent combination of education and related experience.
  • Thorough working knowledge of accounting, financial reporting, and financial analysis, with fund accounting preferred.
  • Experience preparing budgets, forecasts, and financial plans, and integrating multiple pieces of financial information to identify themes, trends, and issues.
  • Ability to make decisions, plan, organize, resolve problems, supervise, manage time and resources effectively, measure and monitor progress, and redirect efforts as needed.
  • Ability to compile, analyze, and explain data accurately and resolve complex issues with judgment and tact.
  • Demonstrated proficiency in Excel and experience with budget management, financial reporting, and fund accounting.
  • Excellent written and verbal communication skills, with the ability to adapt communication style to individuals at all levels throughout the university.
  • Ability to anticipate changes in the business environment and proactively manage change.
  • Solid understanding of internal control concepts and the implementation of internal control systems in a complex business environment.
  • Ability to interact effectively with individuals from diverse cultural backgrounds, manage confidential matters, and remain discreet in professional relations.
Responsibilities
  • Provide and integrate academic, financial, research, and clinical administrative services for which the role is accountable.
  • Serve as the unit's point of contact with service providers such as Facilities, Human Resources, Information Technology, Procurement, Student Services, and Faculty Affairs; communicate unit needs, take action where needed, monitor service adequacy, and escalate issues to the Lead Administrator.
  • Partner with the Lead Administrator to build financial plans, provide financial analysis and reporting, monitor performance against budget, recommend adjustments, and authorize transactions according to policy.
  • Support the unit's Dean, Director, or Chair with financial inquiries; identify available financial resources and recommend efficient deployment to support unit objectives.
  • Prepare fund budgets by gathering historical information, providing analysis, and performing quality control.
  • Help faculty and staff analyze funding challenges and opportunities and present options to the Lead Administrator.
  • Implement and maintain internal controls to ensure appropriate resource use, accurate financial information, compliance with contractual obligations and agreements, policies, procedures, and regulatory requirements.
  • Take corrective action to protect Yale's assets, resources, information, and reputation, and identify, communicate, and address issues in a timely manner.
  • Ensure faculty and staff understand regulations, policies, procedures, and Yale requirements relevant to their activities.
  • Connect the unit and University through communication, priority alignment, initiative implementation, and engagement in University administrative priorities.
  • Represent unit needs, challenges, and opportunities at the Lead Administrator and University level, create opportunities to enhance the unit's image and value, and share knowledge and best practices.
  • Attract, retain, and develop Business Office talent and other unit non-faculty personnel.
  • Work with Human Resources partners on selection, performance management, career development, and employee relations processes in accordance with University guidelines and contractual agreements.
  • Partner with the Lead Administrator to assess current non-faculty personnel and future talent needs, recommend movement of administrative talent, and develop Business Operations staff.
  • Cultivate a diversity of backgrounds and perspectives in the unit.
  • Partner with the Lead Administrator and, when appropriate, the Dean, Director, or Chair to shape administrative and operational priorities and support strategic planning.
  • Translate unit strategy into actions, recommend resources needed to achieve short- and long-term goals, assess available financial and non-financial resources, and identify factors affecting the unit's ability to meet its mission and goals.
  • Recognize and raise potential issues, ideas, and solutions to the Lead Administrator.
Desired Qualifications
  • Experience with university financial and administrative systems such as Workday and YBT, along with knowledge of relevant processes and policies.
  • Proven experience in higher education administration, interacting with faculty, staff, and other departments, or in museum or nonprofit administration.
  • Experience with restricted endowments and gifts.
  • Experience with sponsored awards and financial gift management.
  • Experience with international operations.
