Requirements
  • A bachelor's degree in Accounting, Business, or Human Resources, or equivalent experience.
  • At least 2 years of payroll operations experience with a strong understanding of federal and state payroll requirements.
  • Proficiency in Excel, Word, and PowerPoint, with the ability to analyze reports and identify trends.
  • The ability to handle escalations and stakeholder interactions professionally.
  • Demonstrated integrity and confidentiality.
  • Flexibility to work extended hours during critical business timelines.
Responsibilities
  • Process payroll and final pay checks accurately and on time according to documented procedures and checklists.
  • Work pay-run audit reports, research and resolve errors before checks are printed or files are transmitted, and escalate exceptions as required.
  • Monitor payroll mailboxes and ticket queues, respond to requests and forms within the 24-hour service-level agreement, and document actions.
  • Apply United States payroll policies, internal controls, confidentiality requirements, approval requirements, and audit-trail procedures.
  • Support ad hoc activities and year-end deliverables during peak volumes and critical timelines.
  • Maintain knowledge of payroll calendar updates and process changes and complete required training.
  • Serve as the first-level escalation point for complex cases and aging tickets and coordinate resolutions with partner teams.
  • Coach and mentor L2 Specialists on process execution, quality, and communication and support onboarding and training.
  • Contribute to standard operating procedures, checklists, and templates with version control and communicate changes to the team.
  • Identify trends from audits and case data, recommend corrective actions, and participate in small process-improvement initiatives.
  • Support coverage planning within the sub-team during peaks, downtime, and year-end timelines.
  • Support employee tax setup changes and validations, assist with tax inquiries and ticket triage, resolve routine items, and route complex items to subject-matter experts or partners.
  • Support year-end activities including W-2 validations, correction workflows, and reprint requests.
  • Support direct-deposit maintenance and reject/return handling and complete corrections within required timelines.
  • Assist with payroll funding and file checks and basic reconciliations and escalate discrepancies.
  • Log and track automated clearing house rejects, reversals, and high-risk exceptions through closure.
  • Set up and maintain garnishment and levy deductions based on received orders and decision trees.
  • Process routine agency communications and documentation within the service-level agreement and maintain required records.
  • Support remittance processing and exception handling and escalate complex scenarios.
  • Execute standard payroll processing steps, including data entry, validations, and adjustments, according to the payroll calendar.
  • Run and review assigned audits, correct basic errors, and coordinate dependencies with upstream partners.
  • Support directed off-cycle processing requests and ensure documentation and approvals are complete.
  • Process final pay checks, including paid-time-off and other payouts, according to state requirements and documented guidance.
  • Support manual check requests, reissues, and reversals and ensure approvals and audit trails are complete.
  • Respond to final-pay inquiries from human resources and field teams using templates and policy references.
Desired Qualifications
  • FPC or CPP certification is advantageous.
  • Knowledge of Workday or MyTime is preferred.
  • A commitment to coaching and knowledge sharing.
