Requirements
  • A high school diploma or GED is required.
  • A Bachelor's degree in Accounting, Business, or a related field is preferred.
  • A minimum of 3–5 years of progressive accounts receivable experience, including at least 2 years in a construction, field-service, or project-based environment, is required.
  • Hands-on experience with progress billings, milestone invoicing, retainage, lien waivers/releases, and multi-portal submissions is required.
  • Understanding of the full accounting cycle, income statement and balance sheet impact of accounts receivable, job-cost posting, and over/under billing concepts is required.
  • Working knowledge of QuickBooks and the ability to quickly learn Quickbase and additional client portals or systems are required.
  • The ability to troubleshoot unbalanced or missing transactions and work directly with Project Managers to resolve discrepancies is required.
  • The ability to manage a high volume of invoices and aging items with minimal supervision is required.
  • Prior experience in a multi-division or multi-state construction or services company is preferred.
  • Familiarity with AIA-style billing, government contracting payment processes, or healthcare facility billing environments is preferred.
  • Advanced Excel skills and experience with data analytics or reporting tools are preferred.
Responsibilities
  • Own the full lifecycle of customer master data, including setup, ongoing maintenance, credit terms, billing preferences, portal credentials, and contact hierarchy.
  • Ensure customer records support accurate, contract-compliant invoicing and collection activity.
  • Maintain confidentiality of customer and company financial information.
  • Create, review, and submit customer invoices across progress billing, milestone-based, time-and-material, fixed-price, and hybrid contract structures.
  • Navigate multiple client portals and their submission requirements to ensure invoices are accepted on the first pass whenever possible.
  • Handle retainage, retention releases, lien waivers/releases, and related compliance documentation required by construction and service contracts.
  • Coordinate with Project Managers to align billing with project progress, contractual milestones, and approved change orders, and resolve potential disputes before invoices are issued.
  • Support over/under billing analysis by ensuring invoiced amounts reflect percent-complete and contractual billing rights, and escalate significant variances to the Controller.
  • Own the collections process by monitoring aging, taking timely collection actions, and resolving past-due balances.
  • Post customer payments accurately and promptly, and research and resolve unapplied cash, short-pays, and disputed amounts.
  • Communicate with customers, accounts payable departments, and project stakeholders to accelerate cash inflows.
  • Escalate chronic or high-risk collection issues to the Controller with clear recommendations.
  • Reconcile the accounts receivable sub-ledger to the general ledger monthly and investigate and clear variances before close.
  • Prepare and provide supporting documentation for internal and external audits.
  • Deliver accurate accounts receivable aging, deferred revenue, and related schedules for month-end close.
  • Maintain accurate data and workflows in Quickbase, QuickBooks, and client-specific portals or systems.
  • Troubleshoot unbalanced or missing transactions and resolve their root causes.
  • Identify process gaps, control weaknesses, and automation opportunities in the billing and collections cycle, and recommend improvements to the Controller.
  • Uphold the company's mission, vision, and values in internal and external interactions.
