  • High School diploma or GED

Responsibilities
  • Functions as Administrative Assistant providing excellent customer service and support to the Department of Molecular Medicine and Therapeutics (MMT)
  • Provides comprehensive administrative support to the Department Chair, Department Administrator, and faculty in managing and coordinating all phases of daily operations within MMT
  • Coordinates daily activities of administrative office, including greeting visitors, answering inquiries, submitting facilities requests, mail distribution, and access requests
  • Drafts or forwards department wide electronic communications
  • Supports the Vice Chair of Education and Committee in managing and coordinating classes for the department, which includes scheduling courses, reserving classroom space, and working with the College of Medicine’s Education Office
  • Coordinates appointment calendars of assigned leadership as needed
  • Coordinates and makes national and international travel and lodging arrangements for faculty, visitors, trainees, and students
  • Collects receipts, prepares, processes, and tracks requests for reimbursement of expenses
  • Acts as department’s procurement initiator, including managing the department Procurement Card
  • Organizes, coordinates, and executes the logistics of special projects, events, and reports for department meetings such as Works-In-Progress, Faculty Research Seminars, Faculty Meetings, Department Retreats, etc.
  • Records, transcribes, and distributes meeting minutes
  • Creates, monitors and updates the department website, and any department social media accounts
  • Actively participates in faculty recruitment
  • Supports department leadership and faculty to research, collect, and interprets information and data to aid in decision making
  • Serves as a safety representative and asset manager for the department, assisting with training compliance, equipment audits, and tracking assets
  • Participates in faculty appointment, re-appointment, and/or promotion and tenure activities by assisting faculty with preparation of promotion & tenure documents and updating CVs (curriculum vitae)
  • May assists the Department Administrator with fiscal and human resources activities
  • Serves as a liaison with university offices, faculty, staff, and outside agencies
  • Performs other duties as assigned
