Requirements
  • A Bachelor's Degree in Sports Administration or a related field, or an equivalent combination of education and work experience.
  • Four years of related work experience with a collegiate athletic program, or an equivalent combination of education and work experience.
  • A valid driver's license that is insurable by the University insurance carrier.
  • Knowledge of NCAA rules and regulations.
  • Ability to travel and work nights, weekends, and holidays.
  • Ability to maintain consistent and open communication with coaches and staff and understand NCAA, ACC, and University guidelines and regulations.
Responsibilities
  • Direct the day-to-day operations of the University of Louisville Men's and Women's Track & Field/Cross Country program.
  • Execute and disseminate meet and event contracts, coordinate travel, payment, and communication with hosts and sites, and serve as the point of contact for visiting teams.
  • Coordinate meet and event day operations with marketing, facilities, sports information, and meet and event management staff when applicable.
  • Coordinate all team travel and coaches' travel, including vendor contracts for hotels, team meals, and transportation.
  • Assist with coordination of recruiting visits, including meals, hotels, activities, and tours.
  • Provide day-to-day administrative support, including pro-card transactions, travel vouchers, and purchasing.
  • Serve as the primary point of contact to the Athletic Business Office and handle pro-card reconciliations, travel reimbursements, purchase orders, monthly budget reconciliations, accounts receivable, and disbursements.
  • Reconcile, project, and monitor the team budget.
  • Assist with coordination of team operations, including meetings, schedules, and practice times.
  • Travel with the team at the discretion of the Head Coach.
  • Serve as liaison to Athletics Compliance by monitoring program activities, supporting rules education, submitting compliance documents, and reporting potential rules violations.
  • Assist with sports information, marketing, and social media operations.
  • Coordinate team special events, including team banquets and alumni gatherings.
  • Manage the sport-specific donor club and serve as its point of contact.
  • Manage the alumni database and communicate regularly with alumni to increase engagement.
  • Use TEAMWORKS software for team communication.
  • Assist in coordinating coaching staff compliance paperwork deadlines.
  • Coordinate required paperwork for incoming student-athletes and assist with the admissions process, including National Letters of Intent, NCAA eligibility certification and clearinghouse processes, campus housing liaison work, and university admissions.
  • Manage gear ordering, distribution, and tracking through the equipment manager.
  • Perform other duties assigned by the Head Coach and Sport Administrator for Track & Field/Cross Country.
Desired Qualifications
  • Experience with indoor and/or outdoor Track & Field meet management.
  • Experience coordinating official and unofficial visits.
  • Experience coordinating competition officials and volunteers.
  • Sport-specific knowledge.
  • Experience working in collegiate athletics.
  • Effective administrative and organizational skills and the ability to prioritize time-sensitive tasks and projects according to deadlines.
  • Effective verbal, written, and interpersonal communication skills with the ability to interact effectively and tactfully with members of the University community.
  • Working knowledge of Microsoft Office.
  • Previous experience working with diverse populations and the ability to work in a University setting.
