Requirements
  • An Associate's degree, preferably with coursework in business administration or health care administration, and two years of experience, including one year in healthcare management, or an equivalent combination of education and experience.
  • Electronic Medical Record skills, with training, including template building and billing knowledge.
  • Advanced knowledge of medical practices, terminology, and reimbursement policies.
  • Microsoft Outlook email skills.
  • Electronic filing skills.
  • Typing skills.
  • Intermediate proficiency with Microsoft Word and Excel.
  • A Notary License within one year is preferred.
Responsibilities
  • Manage an ambulatory practice to promote operational efficiency, high quality, outstanding patient experience, and strong financial performance.
  • Direct staff using the ICARE framework and promote a collaborative and professional team.
  • Manage non-clinical staff performance.
  • Implement procedures that enhance service and quality, enforce medical office policies and procedures, and modify processes as necessary.
  • Establish and maintain an efficient patient flow system, schedule and facilitate office meetings, and ensure registration and insurance pre-verification processes are followed.
  • Prepare weekly staff schedules, ensure adequate staffing, and monitor workflow for accuracy and efficiency.
  • Uphold quality improvement, safety, environmental and infection control, accreditation, and financial performance requirements.
  • Oversee the maintenance, storage, and transfer of patient records.
  • Establish office performance improvement goals aligned with department objectives.
  • Collaborate with providers to build templates and manage schedule changes.
  • Recruit, hire, orient, train, develop, evaluate, and manage staff.
  • Manage clinical staff in collaboration with the site medical director and/or nurse manager.
  • Ensure employee training mandates are completed and tracked.
  • Conduct employee probationary and annual performance appraisals.
  • Review payroll, approve time-off and overtime requests, and oversee performance management and corrective discipline.
  • Monitor employee engagement and lead change management efforts.
  • Interpret patient satisfaction survey data, share results, and resolve difficult patient complaints and concerns.
  • Monitor charge reconciliation, production reports, budgets, petty cash, cash reconciliation, and daily deposits.
  • Develop cost-reduction and expense-management initiatives and hold staff accountable for targets.
  • Process pharmaceutical, supply, and other approved vendor orders.
  • Maintain provider schedules and visit volumes and oversee biannual inventory.
  • Support revenue-generating and pay-for-performance programs, clinical quality initiatives, data analytics, and patient outreach.
  • Maintain quality, service, environmental, and regulatory compliance, including HIPAA, OSHA, and JCAHO policies.
  • Oversee quality reports and clinical compliance for quality assurance, documentation, and reporting.
  • Develop and train staff on emergency and disaster-planning protocols.
  • Enforce patient rights and organizational ethics policies.
  • Attend required monthly department meetings.
  • Liaise with property managers regarding property and facility issues.
  • Administer CME benefits and provide monthly reports to providers.
  • Serve as an eRecord superuser and participate on ambulatory committees as needed.
  • Perform other duties as assigned.
