Requirements
  • At least one year of experience in a similar assistant, coordinator, or administrative role.
  • A proactive, ownership-driven approach with the ability to make decisions independently.
  • Genuine curiosity about artificial intelligence and technology, with some experience using them to work more efficiently.
  • Confidence managing relationships with external vendors, suppliers, and subscription providers.
  • Fluent written and spoken English.
  • The right to work in the United Kingdom.
Responsibilities
  • Take ownership of the front of house, meeting room readiness, and office upkeep, resolving issues proactively.
  • Liaise directly with vendors and suppliers regarding maintenance, deliveries, and office services.
  • Keep the office stocked with first aid supplies, stationery, IT equipment, food, and drinks, including placing the weekly order and coordinating team lunch.
  • Own IT and audiovisual setup, troubleshoot systems for the team, and set up presentations.
  • Manage firm subscriptions and tools by tracking renewals, negotiating with providers, and maintaining accurate records.
  • Complete monthly credit card reconciliation by matching transactions and receipts.
  • Coordinate team and client gifting, including the annual client hamper program and ad hoc requests.
  • Use artificial intelligence tools to design simple systems and trackers that make information easy to find and processes easy to follow for the wider team.
  • Provide holiday cover for office management and executive support colleagues.
  • Act as the London office fire warden and first aider.
  • Support the delivery of internal and external events, including team socials and marketing events.
  • Project manage weekly London Lunch and Learn sessions in collaboration with the program lead.
  • Organize quarterly team headshots, including vendor liaison and internal communications.
  • Manage weekly time-tracking data for the finance and resourcing teams.
  • Conduct ad hoc research, administration, diary management, and travel booking as needed.
  • Give and receive feedback openly with colleagues at all levels of the firm.
  • Seek input from others and reflect their contributions in outputs.
  • Contribute to an inclusive work environment.
Desired Qualifications
  • Experience with Google Suite products, including Google Docs, Google Sheets, and Google Slides.
  • Experience with other technology systems, including Claude, HubSpot, and Payhawk.
