Requirements
  • A post-secondary certificate in Human Resources or equivalent work experience.
  • A minimum of one year of recent experience in human resources or administrative roles.
  • Proficiency in advanced computer skills, including Microsoft Outlook, Teams, Word, Excel, and PowerPoint.
  • Hands-on familiarity with database management programs or human resources information systems.
  • Excellent interpersonal and communication skills, both verbal and written, with the ability to interact with a diverse group.
  • Superior organizational skills and the ability to multitask in a fast-paced environment.
  • Excellent attention to detail and follow-through on assigned tasks while meeting deadlines.
  • Practical experience in managing the complete employment cycle.
  • Ability to maintain confidentiality and diplomacy with a high level of professionalism.
  • Ability to work in a team environment and interact positively with people at all levels and across departments.

Responsibilities
  • Assist with interviews, pre-screening, reference checks, and other recruitment processes as required.
  • Support the creation of offer letters for candidates in collaboration with managers and human resources directors.
  • Oversee the end-to-end onboarding process for new hires, including preparation, orientation schedules, and shift confirmations.
  • Collect and verify required documentation, including identification, certifications, and employment forms.
  • Collaborate with hiring managers to align onboarding timelines and expectations.
  • Coordinate and monitor the HUB clearance process, resolve discrepancies or delays with relevant program managers, conduct follow-ups to obtain HUB forms, conduct and record reference checks, and maintain clearance status records.
  • Manage the SRAT clearance process, conduct follow-ups, communicate with stakeholders, maintain clearance status records, and escalate issues when needed.
  • Manage Organizational Framework for Learning administration, including communication and attendance tracking.
  • Review and monitor Organizational Framework for Learning training certifications on the ShareVision platform.
  • Administer position changes, terminations, and distribution of employment letters.
  • Administer shift confirmations, shift change requests, employee name changes, address changes, Social Insurance Number updates, exit requests, and Records of Employment requests.
  • Process approved leave and return-to-work requests.
  • Maintain accurate and complete personnel records in compliance with organizational policies and legal requirements.
  • Coordinate employee recognition and incentive programs.
  • Assist in planning and executing staff appreciation events and recreational activities.
  • Promote an inclusive and supportive workplace culture.
  • Create initiatives to enhance employee satisfaction, well-being, and retention.
  • Assist with engagement surveys and analyze results to identify trends and improvement areas.
  • Maintain organized employee records, clearance documents, and onboarding paperwork.
  • Audit trackers monthly for compliance with company policies and legal requirements.
  • Review and maintain work permit records and provide timely updates on upcoming expirations.
  • Generate reports on onboarding metrics, clearance timelines, process efficiency, and other human resources metrics.
  • Identify onboarding and clearance process improvements and recommend and implement solutions.
  • Develop ShareVision training and development materials, including training courses, acknowledgments, and competency quizzes, using facilitator-provided content.
  • Track training attendance and maintain compliance and development records.
  • Collaborate with training vendors and internal subject matter experts to deliver training sessions.
  • Recommend training opportunities to address skill gaps.
  • Track and record timely updates for mandatory training and certifications.
  • Maintain human resources systems and databases with accurate and timely data entry.
  • Assist with projects supporting organizational objectives.
  • Plan and assist with staff events and recreational activities.
  • Assist with planning, organizing, and attending recruitment fairs.
  • Record meeting minutes when needed.
  • Work with the Human Resources Business Partner and Human Resources Director on human resources projects, including occasional website, social media, and newsletter updates.
  • Contribute to the Health and Safety office program through record keeping and participation in occupational health and safety drills and inspections.
  • Complete administration for Records of Employment requests.
  • Complete administration for exit requests and process terminations in ShareVision.
  • Assist with and document exit interviews when requested.
Desired Qualifications
  • Familiarity with human resources best practices, labor laws, collective agreements, and British Columbia regulations is preferred.
