Requirements

  • Fire Life Safety Training in Los Angeles City is required; if no card is available upon hire, it must be obtained within 30 days and renewed before expiration.
Responsibilities
  • Provide customer service and administrative support for patients to support patient satisfaction and clinic operations.
  • Coordinate multiple appointments across multispecialty clinical services.
  • Participate in daily clinic preparation, customer service, message distribution, phone answering, clinic and procedure scheduling, encounter registration, and referral management.
  • Enter information accurately and thoroughly into computer systems.
  • Provide medical records to physicians and multidisciplinary teams for review, verify insurance, and obtain authorization for visits and procedures.
  • Schedule patient evaluations, clinic appointments, laboratory services, diagnostic testing, and consultations as requested by physicians.
  • Perform departmental scheduling functions according to department procedures and protocols.
  • Review the master schedule and anticipate requirements and changes based on activity levels to maintain operational flow and a positive patient experience.
  • Send letters of medical necessity.
  • Assist with clerical and scheduling needs, including filing and collecting supporting documentation for billing.
  • Provide phone coverage, contact and distribute messages to medical personnel using text, voice, and email systems, read and respond to email throughout the day, and retrieve and respond to voicemail messages within 24 hours according to department protocol.
  • Greet patients courteously and professionally and act as a point of contact for patients and caregivers.
  • Provide patients and caregivers with information and guidance regarding scheduling, paperwork, and follow-up appointments.
  • Gather documentation regarding patients' insurance benefits and alternative funding sources.
  • Assist with preparing estimates of patient liabilities, including copayments, deductibles, coinsurance, deposits, and prior account balances, for patients, physicians, and insurance companies.
  • Coordinate and gather patient information and needs for physicians, nurses, laboratory staff, and other care team members.
  • Communicate with patients and caregivers about missing documentation needed by clinical or administrative staff and communicate changes in patient and case information to involved personnel.
  • Work with hospital personnel to resolve issues and accommodate patients.
  • Adhere to policies protecting patient confidentiality.
  • Maintain communication with management and staff and a professional demeanor.
  • Keep abreast of changes within the USC healthcare system.
  • Work collaboratively as the department liaison and representative between the department and other hospital and physician staff.
  • Support the Clinic Manager with quality assurance, patient flow, data collection, and projects as needed.
  • Participate in audits and corrections when needed.
  • Participate in department-specific projects, audits, and quality or process improvement efforts.
Desired Qualifications
  • A bachelor's degree in a related field is preferred.
  • One year of administrative or customer service experience in a medical office, preferably in an ambulatory care environment, is preferred.
  • Knowledge of medical terminology is preferred.
