Job Title: University Registrar

The university registrar will provide executive leadership for all functions and services of the academic services office by strategically aligning them with the student-centered vision and mission of the University, along with responsibility for the security, integrity, and accuracy of academic records and the coordination of institutional policies and procedures. This position will assist the academic affairs by certifying graduation requirements, approving transfer credits from other institutions, and auditing the graduation process. The person in this position provides leadership both within the academic services office and to the university at large to achieve institutional goals and to ensure a positive student experience through process improvement, data-driven analysis and decisions, and the development of functions that meet best practices.

Job Responsibilities and Execution
- Serves as a subject matter expert in advising senior leadership within academic affairs and institutionally
- Coordinates and supervises all aspects of the University’s academic services office including the student information system, registration, grading, degree and enrollment verification, academic records management, transcripts, compliance, graduation auditing, and the awarding of degrees.
- Collects, records, maintains, and reports student records within FERPA guidelines, e.g., grades, registration data, and transcripts
- Oversees the management of policies, processes, and operations of the academic services office and provides leadership, innovation, vision, and accountability for the management of all records, registration policies, and services that support student success
- Updates leadership on unit affairs and short-term/long-term initiatives
- Maintains up-to-date course schedules, catalogs, and final examination schedules.
- Develops and maintains a rigorous degree audit process
- Completes National Student Clearing House reporting
- Facilitates data governance and data cleanup initiatives
- Develops and directs institutional record retention policy and practices
- Oversees the University’s commencement process
- Oversees transfer evaluation and equivalency process
- Oversees class scheduling and room assignments
Leadership and Strategic Thinking
- Provides strategic leadership at the institutional level and develops appropriate recommendations for the enhanced services offered through Registration and Records
- Assists academic affairs with ongoing revision of business processes
- Establishes long- and short-term strategic goals based on data and ensures standards for the department and its field are met or exceeded
- Adapts and modifies leadership based on new information and/or data; works to set and unite people within the academic services office
- Utilizes effective strategies to build collaboration for maximum execution
- Aligns division/department purpose and actions with relevant University initiatives and higher education trends
Employee Management and Development
- Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
- Models, supports and holds others accountable to the University’s values
- Recruits, interviews, recommends, welcomes, observes, and monitors performance of department staff
- Sets clear performance expectations and holds employees accountable
- Conducts annual employee evaluations based on evidence, observation, and feedback

Required Qualifications – An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position.
- Master’s degree from a regionally accredited institution.
- 5 years of experience in a university registration setting or related area, experience with FERPA regulations and privacy laws governing higher education, and experience in the management and utilization of computerized records.
Knowledge, Skills, and Abilities – May be representative, but not all-inclusive, of the knowledge, skills, and abilities necessary to perform this job competently.
- Experience leading in a data-driven educational environment
- Demonstrated ability to work effectively with individuals from diverse communities and cultures
- Success leading at a senior level and working alongside cabinet-level colleagues in the role of subject matter expert
- Knowledge of Microsoft Office; Anthology, Canvas, Docuware experience preferred
- Strong written, verbal, and interpersonal communication skills.
- Must be highly organized and detail-oriented
- Ability to use good judgment and think critically
