Requirements
  • A minimum of 3-5 years of Executive Assistant experience supporting high-level executives and managing complex responsibilities.

Responsibilities
  • Oversee and integrate a complex calendar covering business meetings, conferences, travel, and personal engagements; optimize schedules, resolve conflicts, and balance priorities.
  • Oversee telephone calls, emails, letters, and other communications, ensuring timely responses according to established protocols.
  • Handle professional and personal travel planning, including flights, accommodations, excursions, meals, transportation, directions, and shipment of necessary materials.
  • Coordinate with relevant family members to align schedules and travel plans.
  • Confer with the Managing Partner or designated point person after calendar events to verify follow-up actions and next steps.
  • Prepare and deliver necessary materials for events according to company protocols.
  • Communicate follow-up tasks to appropriate parties and track their completion.
  • Coordinate meeting preparation, including conference rooms, materials, refreshments, and hospitality needs.
  • Maintain an organized office environment, order supplies, and stock common areas.
  • Perform special projects and assignments as requested.
  • Work with Partners, Associates, employees, and administrative teams to facilitate communication and support shared objectives.
