Requirements
  • A high school diploma or GED is required.
  • Six months of experience, or 600 hours of training, using computers to generate materials ranging from basic to complex is required.
  • Six months of experience, or 600 hours of coursework, in office practices and procedures is required.
  • Six months of experience, or 600 hours of coursework, in customer service is required.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, and other relevant software is required.
  • The successful candidate must complete a background check.
  • The selected candidate may be required to complete a re-employment physical, including a drug screen.
  • The role requires strong organizational and time management skills, attention to detail, written and verbal communication skills, the ability to manage multiple priorities and adapt to changing demands, professionalism, discretion, confidentiality, collaboration, initiative, and commitment to continuous improvement.
Responsibilities
  • Manage and coordinate complex calendars and schedules for assigned faculty and administrators, including meetings, conferences, educational programs, and special events.
  • Organize meetings, conferences, educational programs, and special events, including logistics, catering, audiovisual support, and materials.
  • Attend meetings, record minutes, and distribute documentation.
  • Arrange domestic and international travel and lodging, process reimbursements, and track expenses.
  • Draft, prepare, edit, and format professional correspondence, reports, tables, and presentation materials.
  • Assist with grant applications, manuscripts, and research documentation.
  • Support faculty with credentialing, promotion and tenure documentation, curriculum vitae updates, and continuing medical education tracking.
  • Serve as a liaison between faculty, staff, investigators, administration, and external partners.
  • Answer phones, respond to inquiries, and manage incoming and outgoing mail.
  • Support faculty and staff recruitment, including interview and hiring logistics and onboarding.
  • Serve as a point of contact for faculty, staff, external partners, and guests; detect and resolve day-to-day issues; and convey directives and instructions.
  • Maintain organized filing systems and perform divisional data entry and reporting across institutional platforms.
  • Provide cross-coverage and backup support for other administrative staff during absences or peak workload periods.
  • Perform other assigned administrative duties.
