Requirements
  • A bachelor's degree is required with a minimum of two years of administrative and project management experience.
  • Experience working with budgets is required.
  • The role requires technical skills and background experience with Microsoft Suite.
  • The role requires effective written communication, interpersonal communication with students, faculty, vendors, and university administrative contacts, organization, flexibility, attention to detail, collaboration, and innovative problem solving.
  • The candidate must be able to create and coordinate events, meeting and event timelines, maintain accessible files, and manage multiple events, programs, and projects simultaneously.
Responsibilities
  • Support Institute operations and project implementation by scheduling projects and programs, maintaining records, organizing meetings, assisting with reports, and providing logistical support.
  • Work with the Director and project leaders on event planning and execution, vendor contracts, and travel and lodging arrangements.
  • Manage budgets for the Institute and individual programs, projects, and events by tracking expenses and liabilities, reconciling budgets, ensuring timely payment of vendors and consultants, and supporting budgeting and financial reporting.
  • Assist with personnel matters, including hiring project personnel, arranging visiting researchers, ensuring timely payment of personnel and consultants, supporting cooperative education and work-study programs, and onboarding visitors and participants.
  • Support development activities, including preliminary budget preparation, grant proposals to federal agencies and foundations, fundraising activities, fee-for-service contracts, and submission materials.
  • Coordinate with budget and research finance teams to align center and institute budgets and projects with memoranda of understanding and Institute needs.
  • Coordinate with marketing and communications teams to plan and implement strategies that increase the visibility of Institute programs, projects, and successes.
  • Assist with annual report preparation and support communications and marketing for individual projects and programs.
Desired Qualifications
  • A master's degree is preferred.
  • Experience organizing and running events is desirable.
  • Administrative and project management experience in an academic environment is preferred.
