Requirements
  • A bachelor's degree from an accredited college or university is required.
  • Five years of progressively responsible experience in higher education, student information systems, enrollment services, or a closely related field is required.
  • Two or more years of supervisory or demonstrated team-leadership experience are required.
  • Experience leading or substantially contributing to technology or systems projects is required.
  • Demonstrated experience supporting, configuring, implementing, or administering a student information system is required.

Responsibilities
  • Lead and participate in implementation of new systems.
  • Provide leadership in maintaining existing applications supporting undergraduate and graduate students in all academic programs.
  • Lead and conduct systems analysis to improve and streamline business processes.
  • Define system requirements and determine how technology should be used in the Registrar's Office to fulfill those requirements.
  • Support day-to-day systems and technology operations by identifying and resolving data discrepancies, providing access to core systems, and guiding operational staff in developing new solutions.
  • Integrate new systems and processes with existing systems and processes.
  • Collaborate with the IT development team and the Registrar to determine project priorities.
  • Coordinate production releases, testing, lifecycle maintenance, technology project rollouts, and existing software upgrades.
  • Manage changes in project scope, identify and respond to potential risks, and suggest contingency plans.
  • Make recommendations to the Registrar concerning available and emerging technology platforms.
  • Represent the Registrar's Office in cross-campus initiatives using knowledge of its business processes to anticipate constituent needs.
  • Collaborate with the Registrar and other college professionals to promote innovation, identify process improvements, and assess enterprise resource planning system capabilities.
  • Liaise with the AIS-Tech and Skyhawk Station teams to coordinate multifunctional projects, ensure proper use of student records data, and align project rollouts with department priorities.
  • Manage the imaging process for academic records and design workflows to improve productivity.
  • Produce reports for state and federal regulatory compliance.
  • Use business analytics to support data-informed decision-making.
  • Develop and maintain procedures and schedules for producing and submitting reports.
  • Create data-validation processes and review data for completeness and accuracy.
  • Produce ad hoc reports using database query tools and incorporate visualization tools to display data.
  • Develop and analyze reports to identify data-integrity issues and improve quality-control measures.
  • Generate reports tracking project status and service delivery.
  • Document system requirements, develop procedures, and design workflows.
  • Work with the Registrar, Institutional Research, and Information Technology to document data definitions and ensure data accuracy and consistency.
  • Develop guides and resources for navigating the data-reporting inventory and managing academic records.
  • Create training materials and manuals for new and existing software applications.
  • Build a collaborative, outcome-focused team to accomplish department goals.
  • Hire, onboard, train, coach, and develop staff.
  • Communicate team, department, and institutional goals to staff.
  • Develop individual staff goals and implement professional-development initiatives.
  • Monitor and adjust staff workload, responsibilities, and staffing levels.
  • Conduct formal evaluations within the Classified system.
  • Plan and delegate projects and tasks, monitor quality and accuracy, and ensure compliance with regulations and university policies.
  • Ensure alignment of best practices, industry standards, and regulations for deployed technology solutions.
  • Stay informed of industry trends and standards.
  • Explore new platforms for service delivery.
  • Participate in professional organizations and collaborate with campus professionals.
  • Maintain knowledge of and participate in daily Registrar's Office operations as needed.
  • Develop a culture of superior customer service when handling tickets and communications.
  • Maintain confidentiality in accordance with applicable policies, rules, regulations, and laws, including the Family Educational Rights and Privacy Act.
  • Maintain knowledge of and participate in digital accessibility compliance.
  • Produce and remediate digitally accessible materials in accordance with Fort Lewis College standards.
  • Serve as acting Registrar during the Registrar's absence, providing departmental leadership and oversight and resolving complex issues.
Desired Qualifications
  • A master's degree from an accredited college or university is preferred.
  • Four or more years of supervisory experience in a registrar, enrollment services, student services, or comparable higher-education environment is preferred.
  • Experience configuring, testing, implementing, and supporting Workday Student or another enterprise student information system is preferred; Workday Student experience is strongly preferred.
  • Experience with Workday reporting, business processes, security, integrations, or data management is preferred.
  • Experience with academic requirements, degree audit, curriculum, registration, or academic records functionality within a student information system is preferred.
  • Ability to communicate business-specific requirements, problems, issues, and solutions to technical and non-technical users is preferred.
  • Experience reporting enrollment and degree data to state and federal agencies is preferred.
  • Knowledge of best practices in academic records management is preferred.
