  • A bachelor's degree and one year experience in student services programs.
  • Computer literacy.
Responsibilities
  • Coordinates the program and administrative functions of the College of Medicine Pathway Resources & Inclusive Mentoring and Engagement (PRIME) Division, particularly related to faculty and resident engagement.
  • Provides administrative support for faculty engagement programs, including Healthy PRIDE and the learning and support network of inclusive excellence faculty leaders in across the departments in the COM.
  • Provides administrative support for resident engagement programs, including McClennan-Banks Resident and Fellow Networking Group, Resident Ambassadors, Virtual Hangouts, and the Achieving Health Equity by Advancing Diversity (AHEAD) Visiting Student Program.
  • Facilitates and coordinates the efforts of the Senior Associate Dean for Inclusive Excellence, Associate Dean for Inclusive Excellence, and Assistant Dean for Resident Inclusion in fulfilling the mission of inclusive excellence.
  • Assists in the development and implementation of new faculty and resident engagement programs.
  • Manages daily program and administrative operations of faculty and resident engagement, including scheduling group meetings, event planning, and food catering.
  • Assists in the development and implementation of a research symposium for faculty, residents, and students engaged in health equity research in the COM.
  • Provide support for special projects at the request of the Senior Associate Dean for Inclusive Excellence, Senior Associate Dean for Pathways, Associate Dean for Inclusive Excellence, and Assistant Dean for Resident Inclusion.
  • Assists the Manager of Pathway Programs and Recruitment Strategies with implementation of pathway programs and event planning.
  • Assists the Director of Inclusive Excellence with implementing and event planning for student programs.
  • Tasks may include developing program materials, reserving meeting space, and food catering.
  • Support the communication programs of the PRIME Team, managed and implemented by the COM Communications team.
  • Helps to develop regular communication content for the Paved Path web-based mentoring program to provide participants with guidance on preparing for medical school, information on admissions events, updates from the AAMC and other organizations relevant to future medical school applicants, and similar communications material to engage participants with the platform on an ongoing basis.
  • Meets with the COM Communications Team on a regular basis and updates the PRIME division on social media postings and enterprise guidelines regarding social media, branding, etc.
  • Tasks include reserving space for division meetings, creating agendas for PRIME Division standing meetings, recording meeting minutes, and providing the team with meeting minutes and reminders of individual responsibilities.
  • Maintains an updated calendar of all PRIME Division events.
  • Manages assigned procurement responsibilities.
  • Processes all invoices and supporting documentation.
  • Prepares correspondences, reports, memos and other written materials as needed.
  • Maintains supply inventory and submits purchase orders as needed.
  • Creates and maintains database on assigned programs, enters data in a timely manner, and assists with providing statistical reports during each Manager’s Meeting.
  • Tracks and updates contact information of alumni of PRIME programs.
  • Runs reports and summarizes data as needed for requests for data, ongoing program evaluation, and local and national presentations.
  • Assists with updating annual report and providing corresponding graphics and charts.
  • Assists the PRIME Division members regarding the overall maintenance and updates of master database.
  • Other duties as assigned by the Senior Associate Dean for Inclusive Excellence, Senior Associate Dean for Pathways, Associate Dean for Inclusive Excellence, Assistant Dean for Resident Inclusion, and Director of Inclusive Excellence.
