Responsibilities
  • Provide clerical, secretarial, and administrative support to the school or department.
  • Answer telephones, provide information, take messages, forward calls, greet visitors, determine their needs, and provide directions.
  • Assist students as needed.
  • Compose, type, and distribute routine correspondence and reports, and update lists.
  • Confirm appointments and meetings.
  • Contact parents and students regarding school absences.
  • Develop and implement office procedures and methods to improve office efficiency.
  • Develop and maintain required reports.
  • Interpret and explain district rules, regulations, and procedures to the public.
  • Maintain complete, accurate, and timely student records, including grades, credits, grade point averages, contact information, immunization history, and correspondence.
  • Maintain office filing systems and clerical operations.
  • Maintain databases and reports.
  • Perform bookkeeping procedures, track district accounts, reconcile accounts and records, and prepare budget records and summaries.
  • Operate office equipment and perform routine typing activities.
  • Prepare and process reports requiring research, computation, and compilation.
  • Prepare room reservation, room arrangement, and equipment requests.
  • Process and input student registration and schedule data.
  • Provide backup assistance to other office staff.
  • Run student transcripts and student lists using database systems, and look up class schedules.

  • Take dictation for official meetings, prepare minutes, and handle confidential or sensitive documents and correspondence.
  • Report consistently for scheduled work and perform other assigned duties.
