Requirements
  • At least five years of experience as an Administrative Assistant supporting senior management in a complex organization.
  • Ability to liaise with staff, students, professors, industry officials, and government officials while adapting to tight deadlines, frequent changes, and demands.
  • Ability to take meeting minutes and follow up on action items in a timely manner.
  • Proven experience managing complex, multifaceted agendas.
  • Ability to prioritize multiple requests and comprehensively evaluate issues to determine priorities.
  • Ability to perform under pressure and manage simultaneous projects, with demonstrated ability to identify and implement process improvements.
  • Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Strong spoken and written English and French communication skills.
  • Demonstrated problem-solving, organizational, and resourcefulness skills.
  • Ability to maintain confidentiality and demonstrate professionalism, autonomy, reliability, and teamwork.
  • Must be authorized to work in Canada and willing to work in Quebec at the campus where the position is based.
Responsibilities
  • Provide administrative support and act as the main contact for all issues related to the Director’s schedule planning and extensive commitments.
  • Maintain the Director’s complex agenda and meeting requests, and prepare agendas.
  • Ensure documentation is prepared in advance of the Director’s meetings.
  • Ensure the Director has all necessary details and information for meetings.
  • Schedule meetings in a timely manner based on priorities.
  • Attend meetings and take minutes.
  • Assess requests and independently determine how information should be disseminated.
  • Provide follow-up and ensure no issues remain outstanding regarding the Director’s correspondence, emails, and requests.
  • Identify problems, troubleshoot, and ensure implementation of solutions.
  • Recommend and implement improvements to the management of the Director’s processes and correspondence.
  • Produce documents and correspondence on behalf of the Director.
  • Gather and compile information as required.
  • Determine priorities to ensure documentation is accurate, timely, and complete.
  • Compose briefing notes and information documents, including biographies for events and issues.
  • Provide high-level customer service in response to requests.
  • Ensure timely responses to all clients regardless of urgency.
  • Adapt administrative processes to urgent, last-minute, frequent, and complex changes.
  • Gather and evaluate information on issues and topics for meetings, and anticipate issues and requests.
  • Brief the Director on potential issues or concerns.
  • Oversee coordination of the Director’s internal and external committees, including sensitive and high-level board-related matters.
  • Advise the Director on priorities to maximize time and commitments.
  • Maintain the Director’s curriculum vitae and keep it up to date.
  • Administer expenditure-related matters, including travel, expenses, and invoices.
  • Participate in special projects, including research and information compilation.
  • Perform other related administrative support duties as required.
