Requirements

Responsibilities
  • Lead planning and execution of research events, including Internal Medicine Research Day, conferences, and Grand Rounds; oversee logistics, budgeting, vendor coordination, communications, and post-event evaluation.
  • Direct end-to-end management of Internal Medicine Research Day, including speaker coordination, stakeholder engagement, vendor management, budgeting, and cross-functional planning and execution.
  • Supervise, mentor and evaluate Research Operations staff members, including workload prioritization, goal setting, performance reviews, and professional development.
  • Manage the annual events and communications budget, including expenditure approval within delegated authority, fiscal oversight, and alignment of financial decisions with departmental priorities.
  • Oversee faculty recruitment seminars and visit processes, including coordination of scheduling, logistics, and communication with candidates and departmental leadership.
  • Partner with departmental leaders, research leadership, and planning committees to define event goals, support planning from concept through execution, and develop budget strategies aligned with financial and operational requirements.
  • Analyze event documentation, financial reports, contracts, attendance data, and participant feedback to support compliance, cost tracking, and event evaluation.
  • Develop and administer the department’s in-kind sponsorship program, including review, approval, tracking, and documentation of sponsorships in accordance with Office of Integrity and Ethics requirements.
  • Coordinate with the Graduate Medical Education (GME) office to identify Continuing Education (CE) credit opportunities for departmental events and support accreditation requirements.
  • Oversee the creation and distribution of monthly and bi-weekly newsletters for CIRO-supported departments, including content development, template management, and distribution.
  • Establish and maintain standard operating procedures (SOPs) for event execution, CE compliance, sponsorship and in-kind donation management, newsletter production, and related operational processes.
  • Coordinate cross-functional operational coverage to support continuity of CIRO services and departmental operations.
Desired Qualifications
  • Bachelor’s degree in a relevant field.
  • Two (2) years of experience working in higher education or a healthcare institution.
  • Experience with business technology tools (e.g., Canva, REDCap, MS Project, Emma, CVent).
