Requirements
  • At least 2 years of project management experience, preferably in pharmaceutical advertising or medical communications.
  • Expertise in managing project budgets, timelines, and resources.
  • Ability to successfully onboard and train others at the Associate level.
  • Ability to resolve issues quickly with little to no direction from supervisors, make sound judgments, and render solid decisions.
  • Strong attention to detail and commitment to delivering quality results.
  • Adaptability and ability to manage multiple priorities.
Responsibilities
  • Lead projects internally from inception through execution, including planning, execution, and management of project people resources and scope.
  • Ensure functional team alignment so medium-complexity projects and accounts are delivered on time, within budget, and at a high level of quality.
  • Support client engagements and conform to agency processes.
  • Partner with Account teams to apply agency experience across program mixes, technologies, and promotional channels to address client needs.
  • Create and manage program-level project workplans, define project requirements and success metrics with Account, and develop staff plans with Resource Management.
  • Create risk-mitigation plans with scenarios and solutions when projects involve executional uncertainty.
  • Collaborate with functional department project leads to evolve agency service-delivery processes and tools.
  • Manage execution on assigned projects, hold team members accountable for assigned work, maintain project standard operating procedures, and follow quality-control practices.
  • Manage and document work status and hotsheets to ensure the team tracks work appropriately against the workplan.
  • Track resource needs across projects and alert the Resource Manager to unfilled gaps or excess capacity.
  • Anticipate executional barriers, assess quality, budget, and timeline impacts, and develop solutions with appropriate input and collaboration.
  • Identify and document internal scope or workplan changes and alert Account when client follow-up is needed.
  • Resolve executional issues with Account, ensuring appropriate team communication and escalation.
  • Participate in client status and execution meetings as needed to support communication and understanding of executional tasks and processes.
  • Partner with Account to resolve executional challenges.
  • Define team processes, communication plans, and rules of engagement with the Account lead, and manage team adherence.
  • Develop and deploy project documentation, including scopes of work, project plans, solution blueprints, project definition plans, contact reports, status reports, and hotsheets.
  • Collaborate with department leads to develop, document, and disseminate workflow plans and staff assignments.
  • Estimate project hours, fees, and costs using agency methodology and provide supporting rationale.
  • Partner with Account to represent agency financial objectives when communicating and negotiating budgets and amendments.
  • Monitor team staffing and expenditures to keep actuals aligned with estimates, client guidelines, and agency financial goals.
  • Communicate financial status for assigned projects to Account and the supervisor in a timely and appropriate manner according to agency standard operating procedures.
  • Collaborate with Account to manage scope changes and financial reconciliations.
  • Support fiscal account management by providing information and points of view to Account leads.

Hayden specialises in resolving complex payer, reimbursement and affordability challenges for global pharmaceutical brands. The acquisition combines Hayden's market access expertise with BGB's strategic advisory services, which span commercial due diligence, new product planning and go-to-market strategies. Hayden will continue to be led by co-founders Jamie Sidore and David MacDougall, becoming part of BGB's strategic advisory practice headed by Hilary Gentile.
