Requirements
  • A High School diploma or GED is required.
  • Three to five years of related work experience is required.

Responsibilities
  • Provide support for leadership positions and a division or department by coordinating administrative work, projects, and staff.
  • Perform annual internal audits of procedures and personnel, quality-check research and clinical data files, and review and edit documents and generate reports as part of the laboratory Good Clinical Laboratory Practices program.
  • Use WorkDay Financials and Supply Chain Management software to maintain lab supply inventory and order office supplies according to established guidelines.
  • Receive and reconcile supply orders and invoices, identifying and resolving delays, billing errors, or discrepancies.
  • Respond to requests in a timely manner and provide clear and accurate information within the scope of knowledge and authority.
  • Schedule appointments and meetings for center staff, organize conference calls and meetings, reserve meeting locations and equipment, prepare agendas and materials, and arrange travel as needed.
  • Organize and schedule conferences, seminars, and department-sponsored programs or events, coordinating locations, registration forms and fees, agendas, refreshments, materials, and equipment.
  • Communicate with vendors, medical center staff, and researchers; interact with others to provide, gather, and disseminate information while maintaining confidentiality as appropriate.
  • Independently research and follow through on a wide variety of requests.
  • Perform routine maintenance and setup of office equipment and request equipment repair services as needed.
  • Prepare, route, and track administrative forms and documents; route materials for required authorizations and monitor receipt by final destination.
  • Communicate with hospital departments to resolve delays and errors.
  • Perform routine clerical duties, including opening and sorting mail, photocopying materials, and sorting, collating, and distributing documents.
  • Screen telephone calls and access for high-level positions, determine which individuals require face-to-face meetings, refer individuals to other managers when appropriate, and resolve situations when possible.
  • Schedule and prepare for diverse and complex appointments, meetings, and travel arrangements.
  • Oversee planning and preparation for committees, distribute minutes, and prepare agendas, materials, and committee work.
  • Plan, coordinate, and make recommendations for high-profile departmental programs and events.
  • Independently compose and edit complex and sensitive correspondence, reports, and documents for final approval by a manager.
  • Compile, analyze, and summarize data from multiple sources to create detailed complex documents, reports, and high-level presentations.
  • Complete department-specific responsibilities documented at the local level.
  • Act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows.

Beth Israel Lahey Health rolls out Heidi's AI scribing to all physicians after 90% report better patient presence

Beth Israel Lahey Health is rolling out Heidi's ambient AI scribing tool to all its physicians following a successful trial across its facilities. The health system, which serves over 6,000 providers across 14 hospitals and 175 primary care practices, prioritises addressing physician burnout, with nearly half of US physicians reporting burnout. During a six-month trial offering Heidi to 1,000 providers, the majority adopted the technology. Survey results showed 89% were satisfied with note quality, 90% felt more present with patients, 74% reduced after-hours work time, and 82% experienced reduced cognitive load during visits. The implementation demonstrates how ambient AI can deliver immediate relief to physicians whilst benefiting patients and the healthcare system. Heidi supports over 2 million consultations weekly globally and has raised $96.6 million from investors including Point72 Private Investments and Blackbird.
