Requirements
  • At least 5 years of experience managing office operations in a fast-paced, growing company.
  • Strong knowledge of office systems, vendors, and tools that support office operations and basic information technology, with the ability to troubleshoot issues and manage external partners.
  • Ability to create a welcoming, well-run office environment while managing budgets responsibly.
  • Ability to organize work, manage multiple priorities, and respond quickly to operational needs.
  • Ability to lift, carry, and move items weighing up to 50 pounds, with or without reasonable accommodation.
  • Ability to stand, walk, bend, and reach for extended periods while setting up offices, events, or workspaces.
  • Ability to use standard office equipment and technology and occasionally move furniture, equipment, and supplies.
  • Ability to navigate stairs, elevators, and shared building spaces as needed.
  • Ability to work additional in-office days and maintain schedule flexibility based on business needs.

Responsibilities
  • Oversee office facilities, including vendor management, maintenance requests, and coordination with building management.
  • Maintain office cleanliness, organization, and overall functionality.
  • Manage office supply inventory and ordering, including kitchen supplies, snacks, and lunch.
  • Lead office planning and space management, including reconfigurations, furniture updates, and vendor coordination.
  • Receive and distribute incoming mail and deliveries and manage outgoing mail.
  • Manage basic company information technology needs, including troubleshooting and software access.
  • Liaise with external information technology vendors and contractors.
  • Order and maintain office equipment and technology.
  • Assist with basic accounting functions, including processing checks and issuing and paying invoices.
  • Provide travel booking support for staff as needed.
  • Partner with the People & Culture team to foster a welcoming, well-organized office environment.
  • Participate in onboarding new hires.
  • Support internal events and company initiatives.
  • Take on occasional special projects, including internal events, office moves, and other operational initiatives.
