  • A high school diploma or GED is required.
  • An Associate's Degree is preferred.
  • A Fingerprint Clearance Card application number is required upon hire.
  • A Fingerprint Clearance Card is required within 90 days from the date of hire.
  • Candidates should have a minimum of two years of customer service experience.
  • Candidates should have previous experience with Dimensions, Lawson, Halogen, Midas, and Microsoft Office Suite.
Responsibilities
  • Answer multi-line telephones, operate and troubleshoot photocopiers, use office equipment, and operate the computer ordering system, including time edit functions.
  • Secure, sort, open, and distribute forms, mail, communications, office supplies, and office equipment.
  • Provide backup coverage for other support staff and complete assigned special projects.
  • Coordinate and maintain efficient office operations.
  • Maintain the scheduling system so records are accurate and complete and can be used to analyze patient and staffing patterns.
  • Maintain patient scheduling reports, including Tele Vox.
  • Train and orient appropriate office staff on front-front office responsibilities.
  • Inventory and reorder necessary equipment and supplies and maintain required floor stock.
  • Anticipate and promptly respond to customer needs.
  • Listen actively to patients and co-workers and respond promptly, reliably, and understandably.
  • Provide prompt and courteous service and communicate when service is delayed.
  • Prevent, calm, or diffuse irate callers and patients by identifying concerns and properly directing calls or solutions.
  • Check patient insurance eligibility and update demographics.
  • Process patient payments, including co-pays, deductibles, and co-insurance.
  • Perform end-of-day reconciliation and correct billing errors using programs including BOS.
  • Gather and process patient forms needed to obtain authorization for department visits, tests, labs, and procedures, including ECT and TMS where applicable.
  • Obtain appropriate consent for care and authorization to obtain or release information.
  • Prepare and distribute departmental communications to internal staff.
  • Develop and maintain distribution lists for communications.
  • Maintain rapport with customers, managers, and employees and set priorities to maintain workflow.
  • Use appropriate medical terminology and organization services.
  • Communicate with providers and their staff about patient concerns or scheduling issues.
  • Consult with clinic leadership about system problems.
  • Document and communicate needed actions to management, discover irregularities, and determine continuing operational needs.
  • Report safety-related incidents through the Midas/RDE tool, attend safety training, work safely, and monitor the work environment for safety issues.
  • Comply with applicable state and federal regulations, statutes, and company policies.
  • Keep required certifications and licenses current when applicable.
  • Complete mandatory company modules and job-specific training within the specified timeframe.
