Requirements
  • An Associate's degree is required, or an equivalent combination of education and experience.
  • Three years of progressively responsible experience in administrative support is required.
  • Demonstrated organization, communication, time management, and problem-solving skills are required.
  • Proficiency with office software and tools and computer applications, including Microsoft Word, Outlook, and Excel, is required.
  • Ability to manage a large volume of work and track multiple projects through completion is required.
  • Interpersonal skills and the ability to work with a diverse audience are required.
  • Attention to detail and accuracy are required.
  • Ability to exercise independent judgment, establish priorities, monitor deadlines, and organize correspondence, materials, and action items is required.
Responsibilities
  • Provide administrative support to Campus Dining and Auxiliary Operations, including preparing and reviewing reports and documents, attending meetings and taking minutes, overseeing office management systems, and screening and directing calls.
  • Manage the time and calendars of senior leadership and administrators, including travel and project timelines, by choosing or recommending among competing demands on time.
  • Serve as the Campus Dining office receptionist.
  • Develop and establish procedures and schedules to meet the operational needs of Campus Dining and Auxiliary Operations.
  • Maintain required records and reports of activities.
  • Work with team members to collect information for managing departmental projects.
  • Prepare statistical reports and presentations.
  • Attend River Campus Administrator Group meetings and disseminate information.
  • Maintain an organizational system for administrative records, including master spreadsheets, department phone trees, training grids, and anniversary milestones.
  • Monitor office expenditures, maintain office equipment inventory, and coordinate technology needs with the Lead Process Improvement Specialist.
  • Serve as a liaison between Campus Dining leadership and staff and with departmental administrators, students, and visitors.
  • Maintain relationships and collaborate with Campus Dining divisions, Strong Staffing, Human Resources, and other University stakeholders as directed.
  • Assist with administrative activities related to recruiting and onboarding new Campus Dining and Auxiliary Operations team members.
  • Coordinate hiring fairs with leadership, the Human Resources Business Partner, other University departments, and external vendors as needed.
  • Serve as Department Coordinator for Workday business processes relating to Campus Dining and Auxiliary Operations staff.
  • Perform backup duties in the absence of the Payroll Coordinator.
  • Perform other duties as assigned.
Desired Qualifications
  • Ability to work nights or weekends as needed.
  • Serv-Safe certification preferred within 12 months of hire.
  • AllerTrain certification preferred within 12 months of hire.
