Requirements
  • Position typically requires a minimum of 1-3 years administrative support experience; real estate experience strongly preferred
  • Proven proficiency and advanced knowledge of Microsoft Office Suite and communication tools such as Zoom and Microsoft Teams required
  • Strong skills in adapting and using industry specific computer platforms is preferred. Examples include Yardi, Energy Star, Box.com, Avid, Deal Cloud and Real Page
  • Demonstrated ability to be professional, presentable, articulate, organized, conscientious, dependable, polished, and comfortable in fast-paced environment required
  • Ability to work on multiple projects required
  • Ability to maintain confidentiality required
  • California Notary or willingness to become a Notary is a plus, but not a requirement
Responsibilities
  • Assist Asset Managers with property level tasks, including review of service contracts and purchase orders, lease, budget, and capital tracking, and tracking property management and leasing agreements
  • Assist in post-close obligations for new acquisitions and maintain the weekly Transition Checklist, tracking tenant notification letters, establish file-sharing sites, gather lockbox, banking information, etc.
  • Assist in the preparation of quarterly, annual and other ad hoc reporting documents
  • Perform various property related tasks which may include running reports in Yardi, reviewing marketing materials, organizing materials for meetings, etc.
  • Prepare/update reports, memos, letters, presentations, and other documents, using Microsoft Office and Excel applications)
  • Organize and file all asset management and general corporate related documents (Soft files)
  • Create Excel worksheets and work within tracking systems to organize large amounts of data, and analyze data as necessary
  • Maintain effective communication with other members throughout Ares and with third party property managers and leasing brokers
  • Consistently represent the organization in a professional and courteous manner
  • Assist Asset Managers with the coordination and planning of marketing events
  • General office management duties, including answering phones, greeting/accommodating visitors, ordering lunches and office supplies, and sorting and sending mail
  • Coordinate various onboarding needs for new hires
  • Complete other duties as required
