We are currently looking for a Benefits Administration Coordinator.
SUMMARY OF RESPONSIBILITIES:
Responsible for monitoring the day-to-day flow of client requests for enrollments/changes/terminations, supporting HUB client’s group benefits (health, dental, vision, etc.). Provide customer service to client’s HR and support staff while continually improving existing workflow, processes, and associated documentation.

SPECIFIC RESPONSIBILITIES:
- Coordinate daily benefits processing and open enrollment. Handle workflow of enrollments, COBRA, terminations, changes, working with HUB staff, processing team and insurance carriers.
- Serve as point of contact for clients, plan vendors and processing team. Research client inquiries regarding enrollment status.
- Perform escalations with carriers, follow through, track status updates until resolved.
- Participate in evaluation and revision of internal processes to reduce costs and increase efficiency. Assist in testing and implementation of new partner vendors.
- Document and maintain instructions for benefit enrollment processes. Oversee maintenance of database and client records.
- Ensure compliance with applicable government regulations; stay current with revisions.
- Ensure timeliness and accuracy of required deliverables.
- Obtain and update carrier portal access.
- Provide of internal utilization analysis using vendor-provided reports and internal records.
- Assist with department projects such as technology updates, onboarding new partner vendors, and training users.
- Cross train on other benefit administration tasks, including COBRA administration
- Other responsibilities as assigned by Manager.
QUALIFICATIONS:
- Two years of related experience in employee benefits, payroll, or other applicable experience.
- Working knowledge of all pertinent federal and state regulations affecting employee benefits programs: filing and compliance requirements, for the ACA, COBRA, life events, leave of absence, Medicare, and DOL requirements.
- Knowledge of procedures for transfer of data to various systems and carriers. Understanding of audits using data comparison tools (excel VLookup). Prepare, collect, and organize data for assessments and file transfers
- Strong analytical skills and a thorough knowledge of employee benefits and the ‘life cycle’ (new hire/change/termination).
- Computer proficiency and technical aptitude with Microsoft Office products, online meeting applications (such as Zoom); knowledge of HRIS and payroll system functions. Plus/preferred experience: enrollment platforms (such as Employee Navigator), shared project management software (such as Smartsheets)
- Effective planning and priority setting. Ability to manage several projects simultaneously while working with target deadlines.
- High attention to fine details of incoming and outgoing work.
- Proven ability to work effectively in a team environment and demonstrate individual accountability.
